The Project Assistant is responsible for assisting with all accounting related duties of the site teams. This includes processing vendor invoices, preparing legal documents, contacting clients for payments and many other accounting related duties. The successful candidate will work closely with the site team, our Shared Services team and our Controllers Department to ensure all invoices are submitted and paid on time along with a variety of other duties.

This is a full time, in office position based in NW Edmonton, AB.

What You Will Be Working On

  • Prepare and collect monthly client billings (accounts receivable).
  • Review incoming supplier and subcontractor invoices for accuracy and coding.
  • Process supplier and subcontractor invoices in OnBase and Viewpoint accounting systems
  • Prepare subcontract documents and work with Subcontractors to collect and update subcontract documents as required.
  • Process receiving of goods from packing slips received from site
  • Assist with preparation and distribution of reports as required.
  • Correspond with clients and subcontractors via email and phone.
  • Provide other administrative support by operations staff and project teams.
  • Other duties as required, including regular front desk reception relief coverage and vacation coverage for other Administration staff.

What We Are Looking For

  • Experience working in the construction industry considered an asset
  • Experience with OnBase and/or Viewpoint Accounting System would be considered an asset
  • Intermediate level computer skills, including Microsoft Office
  • Excellent communications skills, customer service oriented and a team player
  • Ability to manage a large volume of work and can consistently meet deadlines while ensuring high attention to detail and accuracy
  • Ability to forge, grow and maintain positive relationships with multiple groups
  • Strong written and oral communication skills
  • Able to manage multiple priorities simultaneously and meet the time demands of unpredictable activities, capable of handling pressure and challenges in a dynamic business environment
  • Ability to work within tight deadlines and prioritization of work to achieve them
  • Strong analytical, critical thinking, problem-solving skills, and a high degree of accuracy and attention to detail
