About the role

Reporting to the Registrar, the Associate Registrar, Scheduling, Registration & Academic Records, provides strategic leadership and operational oversight for program curriculum, initiatives, and college-wide policies, procedures and business processes for the Scheduling, Registration and Academic Records function (located at three campuses). The portfolio includes: Course Scheduling, curriculum management, Registration and Record Management and graduation and convocation processing for all students. These activities are central to the multi-year strategic enrolment management plan, supporting Sheridan's fiscal position and the OTR mandate and strategic goals. They are also integral to development of OTR's services and the SEEM student experience mandate.

The Associate Registrar works closely with the Registrar monitoring and analyzing enrolments in relation to the targets established in the enrolment plan. During Start of Term, the incumbent responds to enrolment and registration issues related to unplanned enrolment growth and works closely with the Faculty Associate Deans and APAs to resolve the space and scheduling shortfalls. He/she is accountable for leading large change initiatives and developing college-wide procedures relating to the portfolio areas. These initiatives strengthen and clarify new and returning student enrolments, while at the same time are responsive to unplanned and unforeseen challenges. The position is also responsible for ensuring that the integrity and confidentiality of student records are maintained by the OTR.

What You’ll Be Doing

  • Supporting the Deputy Registrar and OTR leadership team in the strategic enrolment planning; Playing a leadership role in the monitoring, and reporting of enrolment related to the progression and graduation of students;
  • Providing oversight and leadership for all operations and activities relating to students’ registration and academic records, and assignments of instructional space;
  • Monitoring all provincial and college policies and procedures regarding student records, and ensuring the quality and integrity of student record data. Is responsible for changes and enhancements to policies, procedures, and business processes involving the Timetabling/Scheduling, Enrolment/Registration and Academic History and Convocation and the change management necessary;
  • Working collaboratively with Student Affairs managers, Deans and Associate Deans to optimize the delivery of integrated and planned service to students throughout the enrolment, records and registration processes;
  • Implementing MCU change directives and new initiatives such as accelerated programs, Apprenticeship changes, Second Career–WSIB, Tuition Subsidy for Students with Disabilities;
  • Participating as a member of the OTR management team in departmental strategic planning activities, including environmental scanning, identifying and surveying customer needs, participating on College and intra-College and Ministry committees, identifying business priorities and developing and evaluating financial, human resources and business process strategies to achieve them;
  • Creating business plan for portfolio/unit that aligns with and supports Sheridan’s business plan and strategic initiatives;
  • Ensuring appropriate organizational infrastructure and financial/human resources capacity to support current and future business needs;
  • Reviewing and recommending opportunities for pathways and develops, in consultation with Academic Faculty and Admissions, revamping and reviewing business processes to support the pathways;
  • Ensuring the effectiveness of policies, systems and procedures which support creation, maintenance, preservation and accurate reporting of student academic data through ongoing review and assessment;
  • Ensuring that subordinate staff provide timely, comprehensive service to students, administrators, faculty and staff, as required through the development of course/timetable creation and changes, information support, guidance and advising through multi-channel services (This includes: in-person student fee payment, information provision and student advising; and on line and in person processes and supports for student grades, student records, registration and communications, graduation and progression, student appeals (grades and withdrawal), student transcripts, diplomas and convocation); Performing other duties as assigned.

The successful candidate will also possess the following qualifications:

  • Master’s degree in business administration or other related discipline.
  • 7 years successful and progressive professional and leadership experience in post-secondary education, including at least 5 years in enrolment management functions particularly in records and registration (equivalencies to be considered).
  • In-depth and extensive knowledge of the processes and systems related to admissions, applications, registration, information systems and records including experience working with a computerized student information system educational structure and registrarial functions in a post-secondary institution.
  • Strong background and expertise in implementing new technology-based solutions.
  • Demonstrated experience leading and implementing change including developing new strategies, policies and procedures.
  • Knowledge of the Ontario postsecondary system including the rules, regulations, procedures and policies as related to registration and student services.
  • Experience with enrolment planning change management strategies (including successful institution-wide implementation).
  • Financial management experience (revenues, budget) - Proven budget preparation management skills and ability to develop and recommend creative solutions to address fiscal pressures.
  • Experience and skills in the development and management of a customer service focussed organization, providing multiple services to a broad range of clients and stakeholders in a multi-channel environment.
  • Experience with scheduling, must be familiar with InfoSilem and PeopleSoft 9.2 for academic scheduling. Experience with metrics; high capability in the use of analytical data and experience working with complex data systems, data management and reporting.
