We are seeking a highly motivated individual to assume the function of administrative assistant, reporting to General Manager, Station Operations - Ottawa.
Responsibilities:
- Interface/liaise with Senior Management of various branches, as well as other organizations (e.g. airport authorities.
- Coordinate overall functionality of Administrative office/personnel.
- Direct handling of routine and confidential matters, i.e. correspondence, telephone queries, etc.
- Manage all correspondence, internal and external, respond as required and as appropriate.
- Prepare spreadsheets, graphs, presentations, overheads as required.
- Coordinate meetings both locally and at remote locations, i.e. book conference rooms, meeting notices, etc.
- Prepare, coordinate and distribute meeting material, e.g., agenda, reports, presentation, etc.
- Establish and maintain filing and follow-up systems.
- Provide general administrative and secretarial support, as required.
- Provide assistance to local Loss Control Manager ( CAMS –degree of confidentiality/organization).
Qualifications
- Minimum of a high-school diploma
- At least three to five years of experience as an administrative assistant
- Sound knowledge and proficiency of computer skills including Word, Excel and Power Point.
- Strong organizational skills, disciplined and self motivated.
- Excellent communication skills (oral and written) well developed inter-personal skills.
- High degree of diplomacy, discretion, maturity and judgement.
- Applicant must be flexible and willing to work extended hours on occasion; strong personal initiative and have the ability to work in a confidential capacity, with little or no supervision.
- Ability to work well under pressure.
- Demonstrate punctuality and dependability to support overall team success in a fast-paced environment.
