Job Responsibilities:

  • Provides economic and business information in response to both internal and external requests, including providing information and liaises with other divisional staff.
  • Develops, updates, and maintains data sets including, but not limited to business, economic activity and maintains data sets as required by the unit.
  • Files reports, documents, proposals, and correspondence as required by the Unit. (i.e. Maintains records of litter bin installations and removals)
  • Compiles information packages and other direct mail activities in support of Unit's activities.
  • Supports senior staff with special events and activities, coordinating seminars and meetings and attending functions as required to provide on-site assistance.
  • Establishing and maintaining filing system for Unit.
  • Answering telephone and written inquiries, including providing cover off on telephones for Division Staff as required. (e.g. Assists with administrative support and operational duties for the Division)
  • Develops and maintains databases of programs, services, and facilities, Monitors AVL (automatic vehicle location) software and reports any discrepancies to management. Creates, updates, and maintains detailed maps and directories using appropriate mapping software.
  • Maintains and updates training records in ELI web pages and prepares and manages associated reports for the Division.
  • Updates and maintains directories, statistics and communications used by all levels in the division including management staff.
  • Responds to business related requests for information both from internal and external sources.
  • Compiles and analyzes surveys used by the division for Performance Measures purposes and for other internal monitoring procedures.

Key Qualifications:

  • Post-secondary degree or diploma in the area of Environmental Studies, Urban Planning, or related discipline, or the equivalent combination of education and experience.

  • Experience in the preparation of internal and external correspondence, and detailed reports.

  • Experience in software packages such as the Microsoft Office Suite (i.e. Word, Excel, PowerPoint, Access) and mapping applications (i.e. ArcGIS, RouteSmart), TMMS, (Toronto Maintenance Management System), Compuweigh, and Workwave (online routing software).

Must also have:

  • Strong ability to communicate effectively, both orally and in writing, preparing clear and succinct reports and correspondence for Committees, Council and other stakeholders.

  • Strong interpersonal skills and the ability to work effectively as a member of a team.

  • Strong analytical and problem-solving skills in combination with the ability to perform duties under minimal supervision.

  • Excellent demonstrated organizational and research management skills.

  • A good understanding of the technical and operational issues facing the division.

  • Ability to support Toronto Public Service values and a workplace culture that champions equity, diversity, and inclusion.
