Position Summary

The Dietary Support Services Clerk reports to the Team Leader of Food Services. The Dietary Support Service Clerk is responsible for providing administrative support within the operation of the Food Service Department.

Required

  • Grade 12 education.
  • Relevant work experience in food service/clerical administration/purchasing.
  • Ability to communicate effectively and exercise professionalism with patients, co-workers, supervisors and other stakeholders (e.g. Public Health and various suppliers).
  • Ability to work as a team member and adapt to a fast paced environment.
  • Current knowledge and experience in use of computers, fax machines, electronic communications and filing.
  • Current knowledge of and experience in Microsoft Office (Word, Excel).
  • Ability to learn new software programs when implemented (with required training).
  • Strong communication (oral & written) and interpersonal skills.
  • Ability to function independently and manage numerous interruptions and concurrent tasks while maintaining a positive disposition.
  • A demonstrated respect for privacy and confidentiality.
  • For internal candidates, disciplinary and attendance records will be considered.

Duties

  • Performs clerical functions as required for the Food Service Department (e.g. sending documents via currier, inter-hospital mail, and email and fax) within the required timelines.
  • Processes reports utilizing computer software including financial programs, submitting all invoices for products received for all locations, using software from Compass Group all within required timelines.
  • Ordering products for Food Service department (which includes 3 locations) using electronic application and applicable software programs.
  • Inputs payroll entries and adjustments for the Food Service Department in ESP software.
  • Performs scheduling duties and call-ins for replacing staff within the department as per each relevant collective agreement(s).
  • Participates in and supports department and other meetings (e.g. meeting minutes) within the hospital as required.
  • Orders food and other supplies required for the operations within the Food Service Department, meeting supplier timelines and working with supplier staff to ensure deliveries and product needs for the department are met.
  • Maintains Quinte Health policies on behalf of the department and assists in promoting quality assurance & safety.
  • On occasion, may be asked to assist with patient order entry at the bedside using an electronic hand-held device.
  • Maintains confidentiality for all financial and patient information.
  • Performs other duties as assigned by management and/or designate.
