Position Summary

UJA Federation of Greater Toronto is seeking a Transformational & Special Philanthropy Specialist to play a key role in the planning, coordination, and execution of Transformational Campaigns and related philanthropic initiatives. This position supports all stages of the campaign lifecycle—proposal development, donor stewardship, reporting, and cross-departmental collaboration—with a focus on fundraising operations and digital process enhancement.

Reporting to the Senior Director, Transformational & Special Philanthropy, the Specialist will collaborate with colleagues in fundraising, operations, data management, donor engagement, stewardship, and marketing to ensure seamless, high-quality execution of all campaign elements. This includes supporting strategic initiatives, enhancing the donor experience, and ensuring excellence in execution, data accuracy, and stakeholder engagement.

This role is pivotal in advancing cross-functional campaign efforts by facilitating collaboration, driving efficiencies, and elevating the standard of delivery across all donor and organizational touchpoints.

The ideal candidate is a highly organized, digitally fluent, and detail-oriented professional, with demonstrated ability to manage complex projects and coordinate across multiple stakeholders and departments.

Responsibilities include, but are not limited to:

  • Campaign Coordination & Donor Agreements
  • Oversee campaign workflows and ensure accuracy and timeliness of donor agreements.
  • Ensure thank you letters are prepared and signed.
  • Maintain oversight of data changes and approval processes for acknowledgment letters.
  • Ensure alignment of donor agreements with organizational priorities and compliance standards.
  • 2.Donor Engagement & Relationship Support
  • Liaise with donors and respond to inquiries professionally and promptly.
  • Prepare donor meeting briefs, including research, agendas, and relevant documentation.
  • Provide meeting support including minute-taking and follow-up tracking.
  • Proposal Development & Stewardship Materials
  • Assist in drafting tailored donor proposals for capital and major gifts.
  • Collaborate on writing, editing, and formatting of stewardship communications.
  • Coordinate donor recognition signage and plaque production logistics.
  • Honour Roll & Recognition Management
  • Liaise with the Operations team to manage and maintain the Transformational Campaign Honour Roll.
  • Ensure donor recognition listings are accurate and regularly updated.
  • Support
  • Assist the Senior Director by tracking project milestones, identifying potential risks, and ensuring timely follow-ups.
  • Coordinate calendars, meetings, and stakeholder communications.
  • Prepare meeting agendas, take notes, and ensure follow-through on action items.
  • Data & Digital Transformation
  • Collaborate with the Data Analytics & Reporting team to manage and validate donor and campaign data.
  • Collaborate on the development and implementation of digital tools to streamline donor communications and reporting.
  • Contribute to the digitization of campaign materials and stewardship reporting.
  • Run data reports and maintain clean entries in CRM systems.
  • General Administrative Support
  • Manage documentation, filing, phone inquiries, and internal communications.
  • Provide comprehensive administrative support to the Senior Director and the Transformational Campaign team, including documentation, internal communications, and calendar management.

Qualifications

  • Completion of post-secondary school with relevant experience in donor stewardship, campaign operations, or project coordination
  • Highly organized, dependable, and able to manage multiple priorities and deadlines independently in a fast-paced environment.
  • Strong written and verbal communication skills with the ability to create professional materials and liaise effectively with diverse stakeholders including donors, volunteers, and senior leadership.
  • Excellent analytical skills and attention to detail; able to maintain accurate records, identify trends, and ensure data integrity.
  • Proficient in Microsoft Office Suite (especially Outlook and Excel), CRM systems, and digital tools; comfortable supporting digital and data-driven workflows.
  • Strategic, proactive, and solution-oriented, with a creative mindset and a collaborative approach.

  • This is a full-time permanent position. Union Level 4. As UJA currently operates on a hybrid basis. Please note that UJA’s offices are closed on all Jewish holy days (yom tov) and the Jewish Sabbath (Shabbat).
