Scope Of Position The Customer Service Representative (CSR) – Customs & Logistics will provide both customs and

logistics administrative support to our Customs Specialist team. The CSR role will involve administrative

support as required by the Supervisor and/or Manager.

Principal Functional Responsibilities

  • Customer Service - Execute valued customer/supplier interactions through phone or email communication.
  • Escalate as needed to Account Representative for appropriate resolution.
  • On-Time Delivery - Track shipments in excel and Transportation Management System (TMS).
  • Expedite shipments as necessary by discussing with customers/ suppliers and Account Reps to ensure delivery will meet requested delivery date and updating databases accordingly.
  • Processing and tracking of KD Container shipments to Honda Motor, Japan, for Honda of Canada Manufacturing.
  • Documentation - Prepare customs paperwork for broker and ensure compliance with customs clearance using CERS application as required.
  • Generate reports for Customs Specialists and process Courier Shipments within System. Daily, complete customs spreadsheets daily, locating information as required to ensure efficient month-end closing.
  • Administrative Processing – Weekly invoicing including set up of sales orders, purchase orders and billing documents within SAP. Prevent carryover of any accrued costs from prior month through review of Accounts Payable (AP) and perform reconciliation activity to avoid aged AP.
  • Keep reporting current by reviewing Accounts Receivable (AR) and action activity to ensure timely receipt of payment for all AR.
  • Month End - Ensure clean, accurate and timely reporting to ensure integrity of financial reporting.
  • Monthly, prepare month end reports within the scheduled timeline, issue reports to team members (Account Reps & Supervisor) for appropriate level of analysis and SOX compliance.
  • Compliance - As the one point of contact for the logistics department, co-ordinate any required compliance activity such as but not limited to SOX, contract request forms

Position Profile And Qualifications

  • Personal Computer skills using Microsoft Word, Excel, PowerPoint, and general database entry
  • SAP experience is an asset
  • Strong customer service experience
  • 2 years’ experience in customs/logistics role
  • College Diploma in Administration and/or Customs/Logistics & Transportation
  • Strong interpersonal, analytical, reasoning, and persuasive skills
  • Ability to work independently and multitask
  • Strong eye for detail, ability to identify and resolve issues independently
  • Must be a team player
  • Ability to work under tight deadlines in a fast-paced environment

Relationship Responsibilities

  • Develops and maintains good working relationships and all members of the team.
  • Develops and maintains good working relationships within HTC as well as all other internal and external stakeholders.
  • Develop, establish, and maintain good working relationships with HTC suppliers, customer, partners, consultants, stakeholders and other network contacts.
  • Enjoys team-building approach of management and department - shares results.
