This Administrative Assistant position provides administrative support within the organizational unit that is necessary to allow the organization to perform its daily operations and meet client/stakeholder needs.

Conditions of Employment:

  • Must be legally entitled to work in Canada

  • Satisfactory Criminal Record Check with a Vulnerable Sector Search

  • Satisfactory Child Abuse Registry Check and Adult Abuse Registry Check

  • Must have valid Manitoba Class 5F Driver's License

Qualifications:

Essential:

  • Experience performing administrative and/or clerical duties within an office environment which may include but are not limited to: reception duties, processing incoming and outgoing mail, answering phones, processing documents, records management, filing, data entry etc.

  • Pays attention to detail and maintains a high degree of accuracy

  • Ability to work and solve problems independently

  • Excellent interpersonal skills with the ability to build and maintain positive working relationships with staff, clients, and various other stakeholders

  • Strong organizational and time management skills with the ability to prioritize workloads and effectively manage multiple deadlines

  • Excellent verbal communication skills

  • Excellent written communication skills

  • Ability to understand, explain, and apply regulations, policies, and/or procedures

  • Ability to manage confidential and sensitive information

  • Proficiency with Microsoft Office programs, Word, Excel and Outlook or equivalent software

Desired:

  • Experience working with legal documents
  • Formal education in an administrative or related field

Duties:

The candidate will provide day-to-day comprehensive administrative support by managing communications (emails, calls, visitors), coordinating meetings and events, and maintaining office supplies and equipment. This position handles incoming/outgoing mail and courier deliveries, processes invoices, and tracks staff attendance. Also, they will maintain physical and electronic filing systems, prepare, proofread and format routine correspondence and reports, and support data collection and database management. This position is responsible for proofreading documents, completing bank deposits, and maintaining archiving systems.
