The Role: We are looking for our next Office Administrator within our Portage la Prairie team. The Office Administrator will be responsible for organizing and coordinating office administration and procedures to ensure organizational effectiveness, efficiency, and safety. This role supports all departments, facilitates internal and external communication, and manages administrative services and vendor relations.

This position is located in Portage la Prairie, Manitoba .

What You’ll Do:

  • Serve as the first point of contact for all internal and external visitors and incoming phone inquiries.
  • Maintain inventory and manage ordering of office, lunchroom, and general supplies.
  • Schedule and coordinate meetings, appointments, and room setups.
  • Assist staff with travel and accommodation arrangements.
  • Plan and coordinate internal/external events aligned with budget and timeline.
  • Manage purchase requests and goods received in SAP.
  • Handle relationships with external vendors and service providers.
  • Review and process monthly service and supply invoices.
  • Provide administrative support to departments including reporting and information tracking.
  • Handle courier shipments and postal pickups.
  • Track company vehicle access and manage employee license documentation.
  • Maintain general filing systems and ensure data integrity and confidentiality.

What You’ll Need: Education:

  • Diploma or certificate in Administration or a related field.

Experience:

  • Previous experience in an office administration role is preferred.
  • Experience with SAP is an asset.
  • Proficient in Microsoft Office applications.

Work Environment:

  • This role is primarily office-based and operates on a Monday–Friday day shift schedule.

Physical Demands:

  • Standard office physical requirements such as standing, walking, using hands, speaking, and hearing.

Position Type/Expected Hours of Work:

  • This is a full-time position. Days and flexible hours of work may be required to meet facility needs.
