We are accepting applications for the following 1.0FTE permanent Elementary Secretary at Downie Central Public School.
Hours of Work: 35hours per week, 10 months per year
Compensation Package Details:
Rate of Pay: $26.56-$29.26 per hour plus 4% vacation pay as outlined in the OSSTF-ESSP Collective Agreement, as of September 1, 2025.

Essential Functions and Responsibilities:
- Office reception including processing inquiries from school personnel, students, parents, community in a friendly and professional manner;
- Familiarity with Enrolment Register Instructions and student attendance collection and reporting requirements;
- Familiarity with all Administrative Procedures related to student enrolment, attendance and the electronic student record in addition to the paper Ontario Student Records (OSR);
- Student record creation, maintenance and retention - both paper and electronic;
- Ensure student registration forms and all other forms related to registration are completed accurately;
- Notify the Principal of all new registrations and any significant health or family issues as provided;
- Perform safe arrival processes as per Administrative Procedure;
- Prepare and review enrolment month end and OnSIS verification reports for Principal's review and approval;
- Safeguard the confidentiality of all records within scope of position;
- Accurate record keeping, maintenance and monitoring of school-generated funds including school cash online and school budget records; including processing purchase orders, accounts payable and coordination of annual school requisitions; maintaining student attendance records and performing safe arrival telephone calls;
- Maintenance of school and administrative files;
- Preparation of reports, memos, newsletters, correspondence;
- Ensure accurate record keeping of staff absences, supply records and SmartFind verification of staff attendance on a daily basis;
- Distribution of incoming and outgoing mail;
- Book and issue of permits/invoices for use of school facilities;
- Perform routine maintenance of office equipment such as photocopiers, fax machines, postage meter and printers and key contact for maintenance and repair of office equipment;
- Provide support and perform related duties for administration; assist with various items as required such as school events (parents' night, graduation, awards night, etc.) newsletters, filing, copying, faxing, and processing correspondence; and,
- Other related duties as assigned by administrative team.
Job Specifications and Requirements:
- One year college diploma in office administration plus up to one year related experience; or a combination of experience, education and training that is considered equivalent;
- Proven computer skills, specifically in MS Office, Aspen, eNav, and School Cash Accounting;
- Competent bookkeeping skills and ability to work well with numbers;
- Proficient and accurate keyboarding skills in excess of 80 wpm;
- The capacity to work independently, problem-solve and multi-task in a busy environment; and,
- Proven professional, interpersonal, oral and written communication skills, and a high degree of confidentiality.
