A Day in YOUR Life as a Catering Sales Manager
Every person that enters a hotel should be greeted and feel like a guest! This is YOU on your first day of work and every work day after that. You walk in, looking sharp and professional with a smile, say hello to passing guests and acknowledge your colleagues perhaps with a smile, nod or salutation. You already have a feel for how your day is going to unfold based on the flow and noise level in the lobby and you aren’t even working yet!
You may be preparing to set up a school reunion, an early morning meeting or a cocktail party that is scheduled for the evening. Regardless of the time of day or length of shift, you are ready to meet every guest with exceptional service and care!
As the day begins, you quickly catch up on emails and voicemails to ensure you are quick to respond to any urgent requests. You look at your calendar and confirm how many meetings are scheduled for the day, both internally and externally. You have a meeting with the Banquet Captain and the Kitchen team to do a final check on the menu for the cocktail party that is scheduled for the evening. After attending a couple of brief meetings, you go back to your office and tackle responding to emails, checking text messages, prospecting for new group and catering business and making follow-up calls to finalize Banquet Event Orders. You contact booked clients to assist with their event plans. You confirm what type of audio-visual set up they need. Do they have their own equipment or do they require rentals? As you discuss event options with clients, you give suggestions on floorplans and recommend some vendors for special requests such as musical or theatrical performances. With your great network of vendors for different types of products, you already have several ideas of which vendor you should contact and are confident that they would be a perfect match by delivering an excellent product or service. In order to achieve a smooth operation, you will work closely with your supporting departments such as front desk, housekeeping, maintenance, and food & beverage. You will work collaboratively with the Banquet and Kitchen team to confirm the details of the menus, food preparation, service times and standards. When you have a site visit with potential clients, you will communicate with all departments to ensure any room, facility, and public areas are always clean, well maintained and ready to wow! Then, you showcase the meeting room with your creative suggestions for their event. You showcase all the greatest points and negotiate contracts based on their needs. You really enjoy arranging their special day and this motivates you to execute the event successfully. You know that sales is all about relationships and creating and maintaining mutually beneficial relationships with guests, which will help you clinch sales, leads to repeat business and promotes new business opportunities. Knowing your business, market and competition allows you to be successful and contributes to the success of the entire team.

- You follow company policies such asresponding to inquiries and coordinating an event and any other requirements for the processes as outlined by your department leaders;
- Stay one step ahead of guest’s needs including and not limited to recording and acting on their preferences, handling their orders, requests, questions and concerns;
- Liaise with the Sales and Catering team, the Reservations and Front Office team, and other departments;
- Proactively soliciting and qualifying new group/catering business to achieve personal and hotel revenue goals through telephone solicitation, outside sales calls, site inspections & written communication
- Responding to sales leads and clients’ requests within 4 hours.
- Build and strengthen relationships with existing and prospect for new customers to enable future/repeat bookings;
- Maintain a calm and welcoming demeanor while multitasking to handle guest interactions at the same time as your daily cleaning and preparation tasks;
- Listen respectfully when guests have complaints. Empathize and work with the guest in an efficient manner to come to a resolution or loop in a manager if necessary to ensure the guest has a satisfactory resolution to their complaint;
- Follow all company and brand standards to sell the products available including and not limited to using the up selling approach to food and beverage orders;
What are we looking for…
- 1 - 3 years of experience in hotel sales & catering or related food service industry.
- Flexibility to work a variety of shifts.
- Strong organizational and decision-making skills.
- Strong interpersonal and relationship building skills.
- Experience using Windows based software such as MS Excel.
