The Office Services Department handles a variety of services including photocopying, scanning, managing the boardrooms and hospitality services, outside storage, mailing system, courier deliveries, ordering of office supplies, distribution of incoming mail and internal pick up and deliveries.
Light to moderate lifting may be required on occasion.
This role is a full time in-office position.
Duties & Responsibilities
- Prepare trial binders and electronic closing books;
- Arrange to have postage machine replenished with funds, as required;
- Code invoices;
- Support the legal support team with file closure procedures and processes;
- Issue and track security cards and parking passes;
- Update Library publications;
- Order and distribute promotional items and look after storage and distribution of items;
- Coordinate and support miscellaneous marketing activities;
- Process business card requests;
- Liaise with cleaners and maintenance workers;
- Provide basic I.T. support when technician is away;
- Photocopy, scan documents, prepare trial binders and electronic closing books;
- Report any premises issues and coordinate repairs;
- Update Procedures Manual for Office Services;
- Provide Reception/Switchboard relief, as required;
- Send faxes;
- Clean kitchens and boardrooms;
- Order notary seals, stamps, stationary supplies and furniture items; and
- Other duties, as required.
Knowledge, Qualities & Experience Required
- Minimum of one year experience, preferably in a legal environment;
- Experience with MS Office;
- Excellent organizational and time management abilities required to prioritize a high volume of tasks or competing priorities;
- Dedicated to providing service beyond expectation;
- Excellent communication and interpersonal skills;
- Proven problem-solving skills with the ability to visualize and deliver creative solutions; and
- Ability to manage multiple internal clients and be adaptable to the needs of each.
