We’re looking for a highly organized and energetic Administrative Assistant to join our team! This is a key support role where no two days look the same. If you enjoy being the go-to person, keeping things running smoothly, and supporting a busy office, we’d love to hear from you.

A big part of your day will be spent supporting our front desk and acting as an in-office runner—stepping in to answer phones, assist with deliveries, complete runs for reception, and ensure our office operates efficiently. You’ll also provide broader administrative support across the firm, including coordination of events, managing supplies, and assisting with internal processes.

THE OPPORTUNITY:

Reception & Front Office Support

  • Serve as backup for reception during lunches, breaks, and vacation coverage
  • Answer phones as part of the reception support team
  • Help with incoming and outgoing deliveries, including courier pickups and drop-offs
  • Support reception with office runs and mail pickups
  • Keep the kitchen and shared spaces clean and organized

Office Administration

  • Arrange courier pickups (Purolator) and maintain related logs
  • Assist with remote employee requests (printing, scanning, etc.)
  • Offsite file management, including file retrieval and storage rental renewals
  • Plan and coordinate internal events like staff parties, appreciation days, and team outings
  • Liaise with vendors, including IT, cleaners, building maintenance, and printer suppliers
  • Oversee security system access and parking assignments
  • Assist with website updates and social media reviews
  • Coordinate client gifts, staff appreciation items, and marketing materials
  • Manage business card and promotional product orders

Office Supplies & Inventory

  • Order and restock office supplies and groceries
  • Maintain inventory of marketing materials and printed collateral
  • Coordinate key cutting and welcome materials for new employees
  • Keep stockroom organized and supply closets tidy

THE EXPERIENCE YOU BRING:

  • 1–2 years of experience in an administrative, receptionist, or office support role
  • Comfortable answering a multi-line phone system and managing front-desk duties
  • Strong organizational skills with the ability to prioritize and manage multiple tasks
  • Reliable and proactive with strong follow-through
  • Excellent written and verbal communication skills
  • Friendly, approachable, and service-oriented demeanor
  • Strong attention to detail and ability to spot and solve problems independently
  • Experience with event coordination or staff engagement activities is an asset
  • Confident using common office equipment (printer, scanner, mail meter, etc.)
  • Familiarity with Microsoft Office, Google Workspace, and general tech troubleshooting
  • Physically able to handle light lifting or office errands (runs, deliveries, etc.)
  • Comfortable working in a fast-paced, team-oriented environment
  • Ability to maintain confidentiality and act with discretion
  • A valid driver’s license and access to a vehicle is considered an asset (for occasional errands)

THE PROCESS:

The interview process includes:

  • Remote 30-minute phone interview with Laurel Swan (she/her), HR Advisor.
  • In person or remote 60-minute video interview with Laurel Swan (she/her), HR Advisor and Robert Ross (he/him), Managing Partner.
  • Conduct reference, assessment, and security checks.
  • Offer.

Salary Range: $19.00-$25.00 per hour
Start Date: Flexible
