About the role
NVIT anticipates a requirement for a Recruitment, Admissions & Registration Officer (RARO) at the Merritt campus and invites applications from qualified candidates. This will be a full-time, one-year term position, commencing as soon as a suitable candidate is available.
The Recruitment, Admissions & Registration Officer (RARO) plays a pivotal role within the Enrolment Services Team, overseeing a wide range of critical functions that directly impact learner access and success at NVIT. This position demands a high degree of initiative, organization, and attention to detail as it supports prospective and current students from first contact through to graduation.
The RARO is responsible for managing student recruitment, admissions, and registration processes. This includes responding to inquiries, processing applications, admitting students, guiding them through the registration process, maintaining accurate applicant lists, and preparing customized registration and information packages. The position requires consistent engagement and proactive follow-up to ensure a smooth, learner-centred experience.
As the lead for NVIT Merritt’s recruitment activities, the RARO must independently plan and coordinate a variety of outreach events, both on and off campus. This includes organizing and attending career fairs and promotional events across the province, often involving independent travel and evening/weekend commitments, particularly during peak recruitment periods. The RARO also works closely with the Events Planner to support major campus events hosted in Merritt.

Key Responsibilities:
Student Recruitment:
- Increase Awareness: Drive efforts to increase awareness of NVIT’s educational opportunities across the province, emphasizing on-campus and community programs through strategic recruitment activities and engagement.
- Recruitment Activities: Coordinate and host recruitment activities for the Merritt campuses, ensuring alignment with recruitment goals and providing targeted outreach to potential students.
- Collaborate with the Recruitment and Events Officer (REO) to collect and analyze recruitment data to improve outreach methods and student engagement strategies.
- Represent NVIT at key recruitment events, including career fairs, high schools, trade shows, and other promotional events within Indigenous communities and broader educational settings.
- Build Relationships with Community Partners: Maintain strong relationships with Indigenous communities, organizations, and educational institutions (K-12 and post-secondary) to facilitate student recruitment and support. Host recruitment events and activities in collaboration with these partners, both on campus and in the community.
- Support NVIT Events: Assist in the planning and hosting of recruitment-focused and NVIT events on the Merritt campus.
Admissions and Registration:
- Enter and maintain student data in Ellucian Colleague (SIS) with a high degree of accuracy and attention to detail, ensuring data integrity across all enrolment services functions.
- Accurately register, add, drop, and withdraw students from courses while maintaining precise records and documentation.
- Provide technical support and guidance to students on accessing Self-Service, Microsoft Teams, Office 365, course schedules, and faculty contacts.
- Build and maintain course sections in the student information system with accuracy and awareness of program and scheduling requirements.
- Process credential and transcript requests promptly, ensuring alignment with institutional policies and privacy legislation.
- Respond to inquiries regarding admissions, student records, registration processes, program offerings, and general NVIT information, ensuring professional and informed communication.
- Create, maintain, and safeguard student records and files, following all NVIT procedures and privacy protocols outlined in FOIPPA.
- Compile and report on prospects, admissions, and registration data, ensuring reports are timely, accurate, and securely handled.
- Assist learners with booking Academic and Financial Planner appointments and manage Outlook calendars to support the efficient coordination of services.
- Perform other related duties as assigned by the supervisor, maintaining a high standard of accuracy, discretion, and professionalism in all aspects of work.
