Job Summary
The Aquatron Laboratory offers services to the Dalhousie community including animal care of aquatic animals. The Faculty of Agriculture, Dalhousie University is a small research-intensive campus located in Truro, NS. Offering technical, undergraduate and graduate programs in agriculture, environment and related life and social science disciplines, the Faculty of Agriculture educates future leaders and generates knowledge and innovative solutions for healthy, sustainable societies. Reporting to the Director, Aquatron with a dotted line reporting to the Department Chair, Animal Science and Aquaculture, Faculty of Agriculture, the Administrative Assistant is a shared position, with flexibility to be physically located in either Halifax or Truro. The incumbent will provide localized support to aquaculture staff, faculty and students in the location which it is based, while providing remote support for the other location.
Key Responsibilities

Complete financial duties including invoicing clients and vendors; journal entries; facility user fee calculations; bill payments; purchasing card administration; preparing financial forms; monitoring budgets; and assisting researchers in project budgeting.

Assist with human resources duties such as staff scheduling; preparation of payroll and hiring forms; tracking overtime, employee hours, and employment status; organizing and tracking safety training; and staff onboarding.

Support animal care duties. This includes tracking fish population numbers; assisting with permit preparations, tracking and reporting; and monitoring for compliance with Canadian Council on Animal Care documentation and policy requirements, and safety and facility standard operating procedures (SOPs).

Administer space allocation and complete space usage reporting. Process service requests for maintenance and larger projects as required.

Provide additional administrative support including compiling and updating safety and facility SOPs; file organization and maintenance; organizing and tracking safety equipment; and, as required, distributing facility incident reports resulting in overtime.
Note
This position will be required to work regularly in the aquatic rearing facilities, a wet, cold environment, for brief periods of time.
Due to operational requirements, the successful applicant is required to work in-person on campus.
Required Qualifications

Business/Administrative Professional diploma plus approximately three to five years related experience (or equivalent combination of training and experience).

Demonstrated knowledge of and/or experience in accounting systems, and accounts receivable/payable processes.

Proven excellent customer service, interpersonal, and communication (verbal and written) skills.

Demonstrated attention to detail, organizational skills, and ability to problem-solve while balancing competing priorities.

Strong computer skills particularly MS Office (Excel, Word, Outlook and Teams) and Adobe Pro.

Meet moderate physical demands including working daily for brief periods in environments with hard, wet surfaces.
