Purpose of Position:

Provide confidential administrative support to Manager, Line Maintenance Toronto, and stores group.

Key Responsibilities:

  • Build and administer the online web schedule for 180 + union employees, 10 + management employees.
  • Creating and maintaining employees' personnel files.
  • Create shift bids, vacation bids, and approve vacation for employees and management, and integrate into the work schedules.
  • Onboarding of employees on TSS (RAIC) platform and signing authority for RAIC and AVOP processes.
  • Recommend schedule changes to backfill for the above including applying collective agreement and reduce overtime payouts for transitions to and from training.
  • Ensure all requirements of the collective agreement are applied when processing pay increases, termination forms, LOA forms etc. for Maintenance employees.
  • Investigate daily exceptions generated in UKG WFC (time and attendance)
  • Ensure all requirements of the collective agreement are applied when processing all overtime, cashbank, payouts, per diems, base. away, sick, family days, vacation, and union business into UKG WFC.
  • Adhere to payroll deadlines.
  • First point of contact for maintenance inquiries and information relating to Line maintenance department.
  • Co-ordinate and responsible for onboarding and offboarding off employees and coordination of all paperwork and information for new hires.
  • Adhoc projects/tasks and other related duties as assigned.
  • Perform duties in accordance with established policies and procedures while giving primary consideration to personal safety, and the safety of co-workers and customers.

Qualifications:

  • Post-Secondary education or previous clerical experience is required.
  • Minimum (3-4) years of experience working in an office environment.
  • Candidates must be proficient in Microsoft Office Suite with particular skill sets in Outlook, Word, Excel, and PowerPoint.
  • Candidate must be proficient working in Internet/Intranet and network environments.
  • Candidates must be well organized, manage time effectively, prioritize multiple tasks, and meet deadlines.
  • Knowledge of Maintenance environment and airline operational experience will be considered an asset.
  • Payroll experience is an asset and knowledge of UKG WFC will be an asset
  • Must have the ability to obtain a Restricted Area Information Card (RAIC).
