About the role

Job Title: Member Services & Operations Coordinator (13 Month Contract); August 2025 – September 2026

Location: Ottawa, ON (Hybrid)

Reports to: President & CEO

Salary Range: $55,000 - $68,000 depending on experience

Position Summary:

WaterPower Canada is seeking a highly organized and proactive Member Services Coordinator to support our dynamic team in driving operational excellence, managing member engagement, and ensuring seamless internal processes. This role spans financial management, vendor coordination, event support, administrative assistance, and communication initiatives. The successful candidate will play a central role in strengthening our internal operations and growing the impact of our membership program.

Key Responsibilities:

Financial Management

  • Oversee day-to-day accounting operations and liase with accounting service provider
  • Track company expenses and ensure alignment with the approved budget using Dext and QuickBooks.
  • Administer and reconcile all corporate credit card accounts.
  • Process and approve vendor invoices, ensuring timely payments.
  • Ensure compliance with financial regulations and audit readiness.
  • Prepare annual membership invoices & invoices for conferences and events.

Membership Program Development

  • Engage members to gather feedback and improve satisfaction.
  • Recruit new members and implement retention strategies.
  • Maintain accurate membership records and manage dues collection.
  • Organize and maintain all member files and data.

Operations & Administrative Oversight

  • Provide executive assistant support to the President & CEO, including travel booking, expense tracking, and calendar management.
  • Coordinate board meetings and events (agendas, board books, catering, AV setup).
  • Liaise with vendors and ensure smooth event execution.

Qualifications:

  • 3-5 years of experience in operations, administration, finance, or membership management.
  • Proficiency in QuickBooks and expense management tools (e.g., Dext).
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication abilities.
  • Experience with event coordination and vendor management.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Bilingual (English/French) is an asset.
