The Position
We are seeking to hire a Client Administrator to support two of our Client Portfolio Managers in their client service and business development activities.
The ideal candidate will be self-motivated, organized, detail and process-oriented, willing to learn, apply best practices and adapt to change. The candidate will have prior experience in a similar administrative support role, preferably in the financial industry.
Your role will be to:
- Work alongside Client Portfolio Managers and interact with clients throughout the account opening and onboarding process.
- Built relationships with existing clients and become their trusted contact for administrative needs
- Create new and improve existing processes to ensure account opening and client service workflow is efficient and accurate
- Generate, organize, and maintain client files and e-documents and files on an ongoing basis.
- Communicate and interact effectively with clients and service providers in person, by phone, email and in writing as needed.
- Respond to client inquiries and provide client support.
- Collaborate with service providers to complete operational requests and updates.
- Enter and manage data in various software applications, including our client relationship management system and portfolio management system.
- Generate reports from various systems as required.
Qualifications:
- Post-secondary education preferred.
- Prior experience in the financial industry and/or demonstrable investment knowledge.
- Proficiency with Microsoft 365 suite of applications and an aptitude for learning new software and information systems.
- Proficiency in Hubspot CRM, and Portfolio Management Systems an asset
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
