Position Description

POSITION SUMMARY
Performs clerical duties as required for the Sleep Program, as a division of Firestone Ambulatory Clinic. Duties include reception, registration, and booking appointments of patients, answering telephones, relaying messages, booking patients for various Sleep Studies, consultation and follow-up appointments with physicians, typing of all correspondence (memos, patient communication), filing, billing and other related clerical duties. Duties further include coordinating patient appointments across the Firestone Ambulatory Clinic.

QUALIFICATIONS

  • 2-year post-secondary diploma in office administration health services from an accredited school
  • Medical terminology certificate
  • 2 years of related medical office experience in a high-volume ambulatory care, or acute care hospital setting is an asset
  • Demonstrated commitment to the values of Service, Responsible Stewardship, Community Responsiveness and Respect
  • Intermediate skill level in MSWord, MS Excel, and typing
  • Experience working with electronic health records (such as EPIC), electronic booking and scheduling software, patient registration
  • Ability to communicate effectively and tactfully, both in person and by telephone
  • Familiarity with professional billing systems and accounting principles are an asset
  • Previous experience in SleepLab (6 bed minimum) is an asset
  • Familiarity with Sleep Lab terminology and lab procedures is required
  • Flexible team approach to workload to support co-workers
  • Good diplomacy and tact essential to liaise with other professionals, patients and families

RESPONSIBILITIES

  • Books Sleep appointments requested by requisition and by physicians in clinic, or Doctors visits as required and provide verification of appointment via electronic health record system and via patient mail out
  • Check requisitions and prepare clinics for future scheduled sleep testing/appointments and print off necessary worksheets
  • Provides timely follow-up re: returned appointments and notifying referring Physicians
  • Performs appointment searches and rescheduling as required by incoming calls
  • Maintains work ques for reports, referrals, patient correspondence and ensures reports and communication to referring physicians are sent in a timely fashion
  • Prepares and files charts for sleep studies and clinics
  • Transcribes requisitions and prepares clinics for future scheduled sleep testing/appointments
  • Inputs into EPIC sleep study type for billings, scans patient test results and notifies Physician as appropriate
  • Reception and registration of all patients arriving at the Sleep Clinic ensuring the information provided by the patient is up to date and accurate
  • May perform other clerical duties as assigned by the Managers, supervisor and the Senior Sleep Technologist
  • Maintains the confidentiality and release of patient information in accordance with hospital policy at all times and abides by all departments and hospital policies and procedures

NOTE: The Sleep Lab is subject to times of slow down throughout the year, dates to be determined

WAGE RATE
Hourly: $28.19.... $29.40... $30.61 (plus 14% in lieu of benefits)
