Job Description:
POSITION PURPOSE SUMMARY:
The role provides general administrative support for the day-to-day operations.
ACCOUNTABILITIES:
The incumbent may perform all, some, or similar range of duties.
- Assists the administrative team in supporting the management in their day-to-day administrative needs.
- Assists in receiving administrative calls, messages, guests, mail and deliveries and directs them to appropriate office/s.
- Assists with filing, maintaining, moving and disposing records according to The Salvation Army policies and procedures.
- Maintains and protects confidential information.
- Circulates general mail and reading materials to the management team/key staff members.
- With training and supervision, collects and organizes data, performs research and generates reports.
- Assists in funds reconciliation, counts money and generates reports as needed.
- Refills brochures in racks and keeps bulletin boards tidy and up to date.
- Performs supplies inventory and receives/confirms shipments and deliveries.
- Prepares/cleans and packs up meeting venues.
- Assists at the Community Dining Program and other departments as needed.
- Attend staff meetings, training, and other mandatory information sessions.
CRITICAL RELATIONSHIP MANAGEMENT:
Conducts routine interactions.
Internal: MU’s team members, various leadership and management teams, clients, volunteers as required.
External: Vendors, donors, community partners.
MANAGERIAL/TECHNICAL RESPONSIBILITIES:
Reports directly to the Business Manager.
Direct reports: none.
WORKING CONDITIONS:
-
Working environment is typically in the office in generally agreeable conditions.

May encounter upset/difficult clientele entering the building.

EDUCATION, EXPERIENCE AND QUALIFICATIONS:

Youth 19 to 30 years of age at the beginning of the employment period.

A Canadian citizen, permanent resident or person to whom refugee protection has been conferred under the Immigration and Refugee Protection Act.

Have valid Social Insurance Number and legally entitled to work in Canada.

Must have completed high school with some college studies preferred.

Must demonstrate adeptness and trainability in MS Office applications and handling various office equipment, tools and gadgets.

Must possess good clerical, organizing, records keeping, and research skills.

Must possess good numeric and analytical skills with attention to details.

Must be able to multi-task, meet deadlines and work in a team environment.

Must be able to follow through and work collaboratively on project-based assignments.

Must possess good customer service skills.

Must be able to lift 50 lbs., demonstrate flexibility and creativity.

Must be able to understand the barriers faced by the Victoria ARC residents and guests.
Compensation:
The target hiring range for this position is $17.85 to $19.69 with a maximum of $23.63.
Placement in the salary range will be based on factors such as market conditions, internal equity, and candidate experience, skills, and qualifications relevant to the role.
