About the Opportunity

This position is identified as a Mentorship opportunity for ʔaq̓amnik or Ktunaxanin̓tik who have an interest in holding an elected Leadership position or becoming a Senior Manager (CAO, CEO, Director, etc.) within an organization. The incumbent will work closely with, and have the opportunity to learn from, Nasuʔkin and Council and the ʔaq̓am CAO on matters of governance, leadership, management, policy, financial management and human resources.

The Executive Assistant (EA) is a key position that provides strategic and executive support to the Chief Administrative Officer (CAO) as well as to Nasuʔkin and Council. The Executive Assistant acts as the right hand to the CAO by supporting, advising, and performing delegated tasks for the CAO in the fulfilment of their responsibilities in addition to proactively anticipating the deliverables of the CAO, Nasuʔkin and Council. The EA uses a high degree of administrative and technical skills to support the spectrum of needs of the CAO, Nasuʔkin and Council. The incumbent will undertake administrative tasks as well as policy review and development, research, document development/editing, developing briefing notes and drafting strategies and reports. The Executive Assistant will be able to anticipate and draft documents for the CAO. The Executive Assistant will act with humility, executing both the basic administrative parts of the positions as well as the more challenging and technical aspects of this position.

This position ensures minutes are accurately taken and transcribed, and that follow-up activities are completed; records and files are accurately managed; all relevant events are organized and supported. Ensures timely and accurate note taking in support of the CAO, Nasuʔkin and Council and ensuring tasks are tracked, actioned and completed for accountability. The position contributes directly to the effective and efficient functioning of the organization as a whole.

Your key responsibilities include but are not limited to:

  • Effectively plan their work to meet deadlines. Plan daily, weekly, and monthly activities.
  • Manage communication for the CAO and Nasuʔkin as needed, monitoring and drafting replies when appropriate.
  • Administer financial processes and other tasks associated with the CAO and Nasuʔkin and Council
  • Attend senior level meetings, participate by providing information, insights and knowledge.
  • Organize meetings and events, including travel arrangements as needed. Prepare agendas and briefing packages, ensure minutes are taken.
  • Supports management of Nasuʔkin and Council and CAO’s schedule.
  • Ensure records of meetings are accurate. Track and administer resolutions, motions and actions.
  • Handle complex and demanding issues as well as day-to-day problems as they arise.
  • Answer queries and deal with requests for information or decisions regarding many difficult situations as well as routine items. Know when to redirect an item to others and who to redirect to

More About You

In order to qualify for the Executive Assistant position, a Bachelor of Management or Business Administration or related degree is preferred. Education in a related field will be considered and a combination of training and lived experience will be considered. Minimum of 5 years experience in an executive administrative and strategic position, ideally with extensive experience within a First Nation setting. Knowledge of ʔaq̓am, the Ktunaxa Nation, ʔaq̓am Community Enterprises, KNC, Child and Family, other Ktunaxa First Nations and relationships with external organizations would be an asset. Experience working with government, committees and boards and an understanding of ʔaq̓am values, priorities, and ʔaq̓amnik interests and concerns.

Proficiency in Microsoft office suite and other computer programs is required, as well as strong file management skills, and an ability to work with the organizational document management system and internet research abilities. The successful candidate will hold a high degree of confidentiality along with strong interpersonal, written and verbal communication skills, attention to accuracy and detail, and ability to multitask and manage competing demands. Proof of a clear criminal record including vulnerable sector check is required, as well as provision of a clean driver's abstract and a Valid Class 5 driver’s license.

Salary will commensurate with education and experience from a range ($58,871 - $84,735 annually), and includes a favorable benefits package and pension plan.
