About the role

Ancillary Services manages the University’s non-academic business units including Parking and Printing Services, providing needed services to the UWinnipeg community.

The Office Assistant is a full-time continuing position that acts as the first point of contact for Parking and Printing Services.

Responsibilities:

  • Answer inquires, phone, email, in-person.
  • Enter all print requests into the print software for pricing.
  • Filing, maintain files and computerized records.
  • Builds and maintains the Parking database.
  • Maintains the Bike Parking program.
  • Resolve invoice discrepancies.
  • Take payments, provide receipts, handle deposits.
  • Follow up on accounts receivables.
  • Prepare correspondence, including, invoices, reminder letters, monthly statements etc.
  • Arrange couriers and deliveries.
  • Prepare monthly departmental activity statements, and monthly sales journal for Financial Services.
  • Count Inventory.
  • Assist with printing production during peak times, performs basic bindery requests.
  • Assists with coordinating parking for events, by posting announcements and displays signs and assisting users.
  • Other duties as assigned.

Qualifications:

  • High School Completion.
  • Minimum 3 years of office experience
  • Print services and/or Parking Services experience
  • Proficient in Microsoft Office (Word and Excel).
  • Must have working knowledge of digital imaging technology and commercial printing.
  • Must be able to communicate effectively (verbally and in writing) with clients, suppliers, and staff.
  • Must be organized and able to adapt to changing demands and priorities.
  • Ability to establish and maintain positive, effective relationships with various levels of internal and external stakeholders.
  • Attention to detail.
  • Excellent organization and time management skills.

An equivalent combination of education, experience, skills, knowledge and abilities may be considered.

Condition(s) of Employment:

  • Must be legally entitled to work in Canada.
  • Must be able to lift 50 lb.
  • Must be available to work a varied schedule.
  • Must be available to be on call.

The salary range for this position will be from $34,452.60 to $47,811.40 annually.
