About the Role

Project Forest's team is growing and we need YOUR help. Our rapid growth has created a need for an Administrative & Rewilding Assistant.

You’ll report to and work closely with the Executive Assistant to support day-to-day operations, communications, partner engagement, and event delivery. From organizing calendars and writing follow-ups to helping coordinate planting days and seed kit orders, you’ll be at the heart of a small but mighty team.

Project Forest's ideal candidate will provide top-level assistance for the Executive Director and Communications Specialist. You will be well-organized and comfortable scheduling meetings and responding to emails on their behalf. This role will be essential to help us achieve our goal to Rewild Canada One Forest at A Time. This is a hands-on, mission-aligned role ideal for someone who thrives on organization, enjoys varied responsibilities, and brings initiative, clarity, and care to every interaction.

Key Accountabilities

Support and Strengthen the Day-to-Day Operations of the Executive Team

  • Manage calendars and logistics for the Executive Director and Executive Assistant
  • Support meeting scheduling, accommodations, and preparation of documents and presentations
  • Attend meetings as needed and document key action items
  • Maintain internal reports, organize digital files, and track project deadlines
  • Track deadlines and help prioritize tasks and surface high-priority actions, especially during busy seasons
  • Provide flexible administrative support across the organization as needed, including internal coordination, logistics, and special projects.
  • Support day-to-day operations, project execution, and team needs as they arise.

Communications & Partner Stewardship

  • Act as a point of contact between executives, clients, and partners
  • Update CRM (HubSpot), track deals, manage follow-ups, and build email sequences
  • Draft correspondence, thank-you notes, reports, and post-meeting summaries
  • Support digital content including newsletters, website updates, and social media coordination

Coordinate and Deliver Impactful Events Rooted in Purpose and Community

  • Assist with planning, communications, and logistics for Project Forest events:
  • Annual Partner Celebration, Corporate Planting Days, Round Dance, Seedling Giveaways, and more
  • Coordinate with venues, vendors, and partners
  • Track event budgets and metrics, support onsite logistics, and ensure smooth execution
  • Assist with promotional materials, swag, and signage using Canva or similar tools

Program & Project Coordination

  • Help coordinate Seed Kit program orders and fulfillment
  • Liaise with TreeTime.ca and clients to ensure timely delivery and excellent service
  • Track inventory and provide regular updates to clients
  • Maintain branded inventory and outreach materials
  • Help Communications Specialist with simple graphic design, printing, and media asset prep

Social Media Management

  • Provide content and information for the Communications Specialist as requested
  • Engage with Project Forest social media posts and share with your network

Blog Posts

  • Assist as required by the Communications Specialist

Newsletter

  • Assist as required by the Communications Specialist

Grants

  • Assist as required by the Grant Writer

What You Bring:

  • Experience supporting senior leaders in an administrative, client service, or communications role
  • Event planning and/or Public Relations experience
  • Strong organizational skills with excellent follow-through
  • Initiative and problem-solving mindset—you see what needs to be done and take action with little direction
  • Proficiency in Microsoft Office and Google Workspace; experience with HubSpot is a plus
  • Familiarity with Canva or other design tools (asset)
  • Excellent verbal and written communication skills
  • Calm, adaptable, and resourceful in a fast-paced, mission-driven environment
  • Passion for the environment and a love of the outdoors
  • Post-secondary education in business admin, communications, or a related field (preferred)

Experience & Qualifications

Required:

  • Love of the outdoors
  • Passion for the environment and Project Forest’s mission
  • Experience supporting senior leaders or teams in administration, client service, or communications
  • Strong organizational skills and attention to detail
  • Excellent verbal and written communication skills
  • Proficiency with Google Workspace and Microsoft Office
  • Comfortable using (or learning) HubSpot and Canva
  • Post-secondary education in business administration, communications, project management, or a related field

Nice to have:

  • Public relations or crisis management experience
  • Familiarity with Canva or other design tools (asset)
  • Familiarity with WordPress, photography, or light video editing
  • Experience working with or alongside First Nations communities with an understanding of Indigenous cultural traditions, worldview and protocol
