About the role

What is the opportunity?

The flagship branch at the top of Royal Bank Plaza, the 39th-floor office of RBC Dominion Securities is looking to hire an Admin Associate to assist the established advisory team in all aspects of the day-to-day operation of our rapidly-growing business.

The Administrative Assistant/Associate role is critical to the continued success of our business; as the first point of contact for our valued clients, you are deeply connected to the first-class client experience we aim to deliver.

This role is client-servicing and involves a high degree of attention to detail. It requires the ability to prioritize tasks, work under pressure, and keep organized in a fast-paced environment. We are an in-person business, and place a high value on the benefits of mentorship, collaboration, innovation, and partnership.

What will you do?

  • Guide clients through an onboarding process, assisting them with opening accounts, transferring their assets and responding to their inquiries
  • Interact with clients on a daily basis by phone, email and in-person answering account-related inquiries
  • Facilitate cash movements for clients that include but are not limited to internal transfers, wire transfers, cheque issues, EFTs, etc.
  • Administer contributions to registered accounts (TFSA, RRSP)
  • Follow-up on client requests and transactions from the previous day to ensure proper settlement and delivery
  • Assist the Investment Advisor/Portfolio Manager in maintaining the book of clients by regular report checking, ensuring all accounts are documented properly, fees are set up correctly, payments are processed on time, etc.
  • Prepare documentation for client portfolio review meetings
  • Book client meetings and maintain a daily schedule
  • Liaise with Middle office and Head office contacts to investigate and resolve inquiries related to accounts and account transactions
  • Assist with ongoing projects to build client engagement, such as updating the website, posting video blogs and assisting with client or prospect events
  • Various compliance-related projects

What do you need to succeed?

Nice to have

  • Canadian Securities Course (CSC)
  • Conduct and Practices Handbook (CPH)
  • Good understanding of all types of accounts (e.g RRSPs, TFSAs, RRIFs, etc.) and investment products (Mutual Funds, GICs, equities, fixed income etc.)
  • Good oral and written communication skills
  • Strong organizational skills with the ability to multitask
  • Professionalism and ability to manage highly confidential information
  • Exceptional attention to detail and mature/positive attitude
  • Excellent people skills, ability to manage different personalities
  • 2-3 years of experience in a similar setting (brokerage, banking, etc.)
  • Proficiency in Excel and Outlook Mail/Calendar
  • Post-secondary education
  • CFA or CFP designation or working towards it
