Description:
SARC is looking for an energetic, positive, and professional self-starter to join our team as an Office Coordinator. The Office Coordinator reports to SARC’s Executive Assistant. Your primary responsibility is to support day-to-day activities of the office by performing reception, administration, and other office tasks, while also providing administrative support to the Human Resources and Safety departments.

SARC is a provincial association that provides services to nonprofit organizations to expand their potential and support the work they do within their communities.

Key Responsibilities:

  • Communication: Handling incoming and outgoing correspondence, including phone calls, emails, and other forms of communication.
  • Scheduling & Calendaring: Organizing meetings, appointments, and travel arrangements.
  • Record Keeping: Maintaining organized files and databases, both physical and digital.
  • Document Management: Preparing reports, presentations, and other administrative documents.
  • Office Management: Ensuring the smooth functioning of the office environment, including ordering supplies and maintaining equipment.
  • Customer Service: Interacting with clients and customers, addressing inquiries, and resolving issues.
  • Event Planning: Assisting with the planning and execution of company events, training sessions, and meetings.
  • Processing daily incoming and outgoing mail, arranging courier pick up services as required
  • General administrative support for Human Resources and Safety Departments Provides back-up support to the Administrative Assistant.
  • Attends training and workshops as required.
  • Performs other duties as assigned.

Education/Work Experience:

  • Requires post-secondary office administration certificate/diploma.
  • 1-2 years of office administrative assistant and/or receptionist experience working in an office environment is preferred.
  • An equivalent combination of education and experience may be considered.

Knowledge and Skills:

  • Strong oral and written communication skills.
  • Exceptional attention to detail, and highly effective organizational and administrative skills are essential.
  • Discretion is required as the position is privy to, and works with, sensitive and confidential information.
  • Exhibits high ethical conduct; acting with integrity, sensitivity, and confidentiality
  • Demonstrated proficiency in Microsoft 365; comfortable learning new technical systems as needed.
  • Typing speed – minimum 50 words per minute.
  • Requires sound judgment and exceptional customer service skills.
  • Tact and diplomacy are essential.
  • Must be committed to teamwork and meeting team goals.
  • Must maintain a consistently professional demeanour as the position is a first point of contact for SARC, while remaining highly personable and approachable in the company of people of all abilities, cultures and backgrounds.
  • Must provide a satisfactory criminal record check as a condition of employment.

Working Conditions:

  • Works onsite in an office setting.
  • Works in an environment where there is continuous change and frequent interruptions. Flexibility and the willingness to change priorities and deadlines are also required.
