Bilingual Administrative Assistant – Invoicing, Office Coordination & Social Media

About the Role:
Are you a recent graduate who’s highly organized, bilingual, and eager to jump into a dynamic business environment? We’re looking for a Bilingual Administrative Assistant to support our team with invoicing , office operations , and the President’s social media calendar .
You’ll play a key role in keeping the office running smoothly, handling light financial administration, and helping to maintain our executive team’s online presence. This is a great opportunity to start your career with real responsibility, variety, and mentorship.
What You’ll Be Doing:
Invoicing & Admin Support
- Create and send invoices when candidates start their new roles
- Track payments and follow up on overdue accounts professionally
- Maintain organized financial records and help improve invoicing workflows
Executive Social Media Coordination
- Help the President schedule, organize, and plan LinkedIn posts and content ideas
- Draft and format basic posts for approval and posting
- Maintain a calendar for communications, visibility, and social engagement
Office Operations
- Keep the office stocked and organized (supplies, snacks, tech, etc.)
- Manage courier deliveries, maintenance requests, and vendor communications
- Assist with employee onboarding setup (desks, welcome kits, tools)
- Handle day-to-day tasks to keep our small team running efficiently
Who We’re Looking For:
- A recent graduate in Business, Social Media, Administration, or a related program
- Fully bilingual in English and French , both written and spoken
- Confident with common software tools like Microsoft Office, Outlook, and Excel
- Comfortable learning new systems (e.g., QuickBooks, Notion, LinkedIn tools)
- Organized, reliable, and responsive — someone who takes ownership of their work
- Friendly and professional communicator, online and in person
