Job Summary:

The Accounts Receivable Clerk processes financial transactions within the Banner System related to student accounts, day care accounts and third party billings. This position responds to a variety of account enquiries and effectively communicates College policies and procedures.

Job Description:

Duties & Responsibilities:

  1. Provides service at the Student Accounts counter:
  • Responds to a variety of requests by telephone, e-mail, written correspondence, and in-person enquiries from College employees, students and the general public regarding account information, College policies and procedures;

  • Processes payments, refunds and various other adjustments to student accounts. Updates student financial information in the integrated accounting system (Banner) and confirms all information is correctly entered and balanced on a timely basis;

  • Interprets, implements, and advises students on all College policies and procedures related to student accounts including refunds, tuition fees, deadlines, registration, U- Pass, health & dental and payments;

  • Interprets, implements, and advises students on specific post-secondary education procedures related to the non-cash payment options for tuition fees (e.g. Passport to Education, government sponsorship, etc.);

  • Liaises with other accounting staff, other College departments, government representatives, First Nations bands, and other external agencies to obtain information regarding student account information;

  • Identifies and refers difficult matters requiring interpretation to the Supervisor, Accounts Receivable or delegate;

  • Advises collection agency of payments and queries and provides additional information as required;

  • Processes wire refunds and all associated paperwork.

  1. Performs accounts receivable duties:
  • Collects and processes cashiering sessions from the Bookstore, Library, Continuing Studies and Student Services;

  • Maintains and disburses petty cash funds according to established policies and procedures and prepares petty cash disbursement report;

  • Matches and records cash and cheques received into the Accounts Receivable area as directed;

  • Completes forms and records related information for pick up of funds and related accounting documentation by the security service company;

  • Updates and distributes returned cheques report; contacts issuer of returned cheques;

  • Prepares and processes billings for other departments such as IMS, Theatre Arts, Library and Health Services;

  • Prepares a variety of form letters, correspondence, memoranda, and reports. Maintains various office files (paper and electronic). Photocopies, compiles and prepares related materials;

  • Participates in the preparation and testing of T4A and T2202A tax forms each tax season;

  • Contacts internal and external customers, agencies, financial institutions and government agencies as needed to research and resolve discrepancies;

  • Processes 3rd party billings, payments and issues receipts (e.g., First Nations);

  • Processes parking pass payments and issues receipts;

  • Removes student holds when payment is received;

  • Processes credit card payments for 3rd party billings and mails receipt to payee.

  1. Performs Day Care Centre related accounts receivable duties:
  • Enters registrations, payments, waivers or withdrawals for the College's Day Care Centre;

  • Liaises with various Ministry personnel to identify day care payments received through direct deposit;

  • Prepares and processes related billings required for government sponsored parents (i.e. infant vs. toddler).

  1. Performs other related duties/projects as required:
  • Performs other Financial Services functions during peak periods and vacation coverage.
  1. Provides back-up support to Accounts Payable.

Qualifications Required:

Education

  • Two (2) years of recent related experience in a customer service role providing in person, telephone, and e-mail service to students.

  • Related experience in accounts receivable within an integrated computerized environment. Preference given to individuals with prior public sector accounting experience.

  • Experience in cash handling and reconciliation procedures.

  • Knowledge of accounting and bookkeeping processes.

  • Knowledge of post-secondary admission and registration processes, financial aid processes, and tuition fee structures, an asset.

  • Proficiency in the use of office software applications including word processing (MS Word), spreadsheets (Excel), and email.

  • Proficiency with an integrated enterprise resource program (e.g. Banner, SAP, JD Edwards).

  • Grade 12 and completion of a one year business certificate from an accredited post-secondary institution which includes a CPA transferable Introductory Financial Accounting course.

  • An equivalent combination of education and experience may be considered.

Skills & Abilities

  • Communicate effectively in English, both verbally and in writing, to others.

  • Demonstrated attention to detail and the ability to process financial transactions accurately.

  • Ability to establish and maintain effective working relationships and provide customer service to administration, faculty, staff, students, external agencies, and members of the general public.

  • Ability to apply and effectively communicate College policies and procedures.

  • Ability to perform basic and intermediate financial calculations with accuracy.

  • Ability to meet work performance standards set by the College.

  • Proficiency in MS Office Suite applications, email clients and integrated computerized accounting systems.

  • Ability to maintain confidentiality.

  • Ability to work effectively with a minimum of supervision and within a team environment.

  • Ability to work under pressure.

  • Ability to analyze and explain complex student financial information to clients.

  • Demonstrated physical ability to perform the duties of the position.

  • Keyboarding skills at 40 wpm.
