Job Summary
An integral member of the Massage Addict team, Guest Service Administrator (GSA), thrives on consistently providing an exceptional experience from the moment a client walks through our doors. Embracing our fast-paced clinic environment, GSAs are motivated, initiative-taking, outstanding communicators, highly organized and true multi-taskers. With a ‘can-do’ and ‘no task too small’ mindset, a GSA can manage both administrative and clinic responsibilities with care while also ensuring the safety of our clients and therapists.
Key Responsibilities
- Provide exceptional client service, answering telephone calls and booking appointments.
- Greet clients upon arrival and help them feel welcome and comfortable in the clinic.
- Process direct billing for insurance claims accurately and efficiently.
- Maintain up-to-date knowledge of all Massage Addict services
- Provide administrative tasks by managing digital intake forms and client documentation.
- Ensure a clean, safe, and organized reception area, and maintain the cleanliness of guest-facing spaces such as the front desk and treatment rooms, in line with clinic procedures
Requirements & Qualifications
- Minimum of 2 years' experience in a client-facing, service-oriented or administrative role
- Strong verbal communication and phone etiquette skills
- Professional, calm, and approachable demeanor with excellent interpersonal skills
- Highly organized and able to manage multiple tasks in a fast-paced setting
- Proficient with Microsoft Office (Word, Excel, Outlook) and comfortable with digital forms and documentation
- Reliable transportation to and from the clinic
- Availability to work part-time hours, primarily on weekends (Saturday and Sunday)
