About the Role

Reporting to the Assistant Registrar, Scheduling and Curriculum, the Infosilem and Scheduling Specialist will serve as the functional lead for a major upgrade of Infosilem, the University's scheduling software. The Specialist will coordinate day-to-day project activities, ensuring smooth system integration and alignment with institutional scheduling needs.

Additionally, the role will be responsible for creating the spring and summer academic schedules, conducting system testing, and maintaining accurate prerequisite data.

Strong collaboration with academic departments and technical proficiency in scheduling systems are essential to support the University’s academic operations and enhance scheduling efficiency.

This is a limited term position working 35 hours per week and ending on December 24, 2026.

Responsibilities

Infosilem System Upgrade

  • Serve as the functional lead for the Infosilem reimplementation project, overseeing daily project activities, including stakeholder collaboration, user requirement gathering, system configuration testing, and ensuring alignment with academic scheduling needs and institutional objectives.
  • Develop functional documentation, user guides, and training materials to support end-users throughout and following the system reimplementation.

Production and Management of University Credit Schedule of Classes

  • Collaborate with department Chairs and administrative staff to produce and revise the academic schedule in accordance with University timelines and policies.
  • Identify and resolve scheduling errors, generate reports, analyze large data sets, and ensure the accuracy and integrity of the class schedule.
  • Collaborate with Student Systems to troubleshoot software issues, recommend system improvements, and conduct upgrade testing.
  • Support onboarding and training of new staff, and maintain user documentation for scheduling procedures in consultation with the area supervisor.

Prerequisite Updates

  • Manage course prerequisite data to ensure accuracy and currency within the student information system.

Qualifications

  • Three or four year bachelor degree or equivalent

  • Minimum three to five years of previous experience working in the post-secondary industry, with at least one year of experience working in Scheduling and using Infosilem (strongly preferred) or an equivalent university scheduling software

  • Collaborative and strategic thinker with a strong understanding of university processes, culture, and structure

  • Skilled in managing high-stakes relationships and navigating faculty relations

  • Experienced in delivering presentations and training to adult learners and large groups

  • Effective at solving complex problems under tight deadlines

  • Proven ability to work independently and manage a high-volume workload

  • Strong critical thinking skills with the ability to analyze and interpret data

  • Detail-oriented with strong technical aptitude

  • Proficient in Microsoft Office and Google Workspace tools

Salary: $ 60,571 - $ 76,640 per annum
