Reception & Front Office Coordinator
How does the role impact the organization? Raymond James Ltd. Equity Capital Markets, 40 King Street West, Suite 5400 is looking for a receptionist to effectively manage our front desk and catering boardroom services. The right candidate has a dependable and friendly nature, who is adaptable to changes at a moment’s notice. Receptionists welcome and interact with our clients, making strong verbal and written communication skills essential. A focus on customer service is required.
A professional business image and positive demeanor are key for this front-line position.
The successful candidate is well-organized with excellent time management skills, as well as be comfortable with Microsoft Office (Microsoft, Zoom, Teams).
The hours are full time, in-office Monday to Friday from 8:30 am to 5:00 pm. There may be instances when the candidate must be flexible on hours of work, to cover conferences.
The incumbent must have exceptional communication and organization skills, work independently and employs solid judgement in the resolution of problems.
What will your role be responsible for?
- Receives all visitors, including phone calls and responding or forwarding to the appropriate individual for timely response.
- Prepares rooms for meetings with internal and external guests, including setting up lunches, coordinating with catering companies, and cleaning up after meetings. May include special conferences and events.
- Working alongside Corporate Access and Investment Banking EAs.
- Coordinates meetings rooms - set up conference and zoom calls efficiently and maintain meeting room calendars.
- Restock kitchen with mugs, glasses on daily basis.
- Ensure reception and boardroom areas are tidy and presentable on an ongoing basis (includes loading, unloading and running dishwasher, cleaning coffee maker, wiping down counters).
- Coordinates occasional internal communication to staff, including maintenance of internal documents including phone lists.
- Maintains office and reception / kitchen supplies inventory at proper levels and ensures timely and cost-effective ordering.
- Maintain office security by following safety procedures and controlling access via the reception desk.
- Coordinate with building services and security for building related requirements (heat/washroom cleanliness/emergencies).
- Assists with special projects, and other administrative functions as needed
- Other duties as assigned.

- A minimum of two years of industry related experience
Educational/Previous Experience Requirements
- Minimum 2 years of Reception/Administrative Assistant experience.
