The Purchasing/Administrative Assistant will assist the Director, Corporate Purchasing with administrative duties as well as be the primary point of contact for incoming guests to Coast Hotels corporate office and be responsible for other administrative duties in the corporate office. This position is full-time, in person, at our Corporate office in downtown Vancouver.
Responsibilities:
- Assists with Requests for Proposals (RFPs); issuance and response audit
- Obtains quotes from suppliers
- Contracts File Management
- Assists in development of new purchasing programs
- Liaises between vendors and accounting
- Processes fixed assets purchase orders
- Acts as an Ambassador for the office, including greeting visitors in a well-maintained reception area and handling general inquiries
- Handles administrative duties such as responding to basic inquiries, maintaining meeting rooms so they are ready for use, and managing incoming calls
- Receives, sorts, and distributes incoming mail
- Prepares and sends courier packages and ensures accurate billing and records as applicable
- Demonstrates a superior customer service attitude with internal/external contacts
- Gathers hotel information and updates records
- Maintains accurate and organized files and records
- Other duties or additional projects as required
Skills/Knowledge/Experience:
- Secondary school diploma;
- Post-secondary education in related field
- 1-2 years in a customer service role
- Demonstrates a superior customer service philosophy
- Excellent verbal and written communication skills
- Excellent phone manner/etiquette
- Demonstrated ability with Microsoft Office Suite; specifically, intermediate level skills in excel
- Interest in working with numbers with high accuracy and attention to detail
- Task and detail oriented
- Intermediate level of decision making and problem-solving skills
- High accountability to own, follow through and report on projects
- Not content with the status quo; driven to create positive change and growth
