Overview
This role offers a unique opportunity for a dynamic and highly organized individual to support both leasing operations and company-wide administrative initiatives. The Leasing & Administrative Coordinator is a key support resource for both the leasing process and broader office coordination needs. It combines front-line client engagement with behind-the-scenes support functions that keep operations running smoothly.
Key ResponsibilitiesLeasing & Client Support (60–75%)
- Promptly answer, screen, and direct incoming calls, emails, and in-person inquiries with professionalism.
- Respond to rental inquiries, guide prospective tenants through the application process, and schedule showings using ShowMojo.
- Monitor and triage the "info" inbox, escalating to appropriate departments when necessary.
- Accept and record rental payments; flag irregularities and assist tenants with payment questions.
- Post updates in private Facebook groups, prepare simple Canva flyers for listings, and respond to social leads.
- Upload, label, and organize documents in Propertyware; maintain digital filing systems.
- Assist in tracking and following up with prospective tenants and owners.
- Proactively request and respond to online reviews to support company reputation.
Administrative & Operational Support (25–40%)
- Support team-wide scheduling, meeting setup, and calendar coordination.
- Compile internal reports, gather data, and assist in tracking progress on key projects.
- Assist with administrative aspects of internal initiatives such as marketing campaigns, presentations, or owner communications.
- Support ad hoc requests to ensure the day-to-day workflow of the business is efficient and responsive.
Ideal Candidate ProfileExperience & Skills
- 2+ years in an administrative, leasing, or customer service role, ideally in property management or real estate.
- Strong written and verbal communication skills.
- Highly organized with excellent attention to detail.
- Comfortable working with systems like Propertyware, ShowMojo, Canva, Zoom, and Google Workspace.
- Professional, friendly, and able to handle sensitive or confidential information discreetly.
- Proactive and adaptable—able to jump in where needed without waiting for direction.
Personality Fit
- A calm, resourceful problem solver who can navigate ambiguity.
- Enjoys supporting others and finds satisfaction in helping things run smoothly behind the scenes.
- Doesn’t get bogged down in over-engineering processes, but can appreciate structure.
