Clerk-Stenographer
Reporting to the Manager of Administrative Services,
The incumbent will:
-
Perform data entry, organize, and maintain departmental files and filing system (cross-referencing, retrieval, archiving, destruction, etc.) in alignment with Planning Act applications
-
Provide process and procedure information on the Records Management System
-
Organize and maintain Planning Resource Centre (sorting, assigning file codes, recording on a database, and updating as new material is received)
-
Maintain and use platforms such as PLANit and Versatile to create, close and archive Planning files
-
Assist internal/external customers and other stakeholders and answer queries about the Departments one-window role with Planning Act Applications, including e.g., Official Plan Amendments, Subdivision and Consent applications via written correspondence, in person, phone or virtually
-
Receive payments and issue receipts for planning and development applications fees and publications produced by the department including preparing monthly financial statements
-
Conduct file searches and retrieve related documents under the Municipal Freedom of Information and Protection and Privacy Act (MFIPPA)
-
Provide short term relief for other Administrative team members as needed
-
Perform other related duties as assigned
The successful applicant will possess:
-
Post secondary certificate in Office Administration or equivalent education plus experience
-
Experience in a municipal environment
-
Minimum 1-year clerical experience; switchboard experience would be an asset
-
Demonstrated computer experience and proficiency with such applications as MS Word, Excel, PowerPoint, Outlook, Adobe Pro, PLANit and Versatile
-
Knowledge of Corporate Classification Scheme (CCS) and Records Retention By-law
-
The ability to work independently with minimal supervision and with team members
-
Exceptional attention to accuracy and detail with the ability to prioritize and multi-task
-
The ability to provide outstanding customer service to all internal and external stakeholders
-
Excellent interpersonal, written, and oral communication skills with the ability to maintain confidentiality, professionalism, and discretion
-
The ability to work under pressure, meet rigid deadlines and adapt to a changing work environment
-
Excellent organizational, problem-solving and time management skills
-
The ability to work regular shifts (8:30am to 4:30pm or 9:00am to 5:00pm
This role offers a hybrid teleworking option.
CUPE 1764 Salary Grade 3
This position is with Salary Grade 3 and will be paid at the following hourly rates:
- Start: $33.32 - Six Month: $35.17 - Job: $37.02
Conditions of Employment
