Position Description
The Maintenance & Sustainability Specialist supports the Asset Management team by developing and maintaining preventative and corrective maintenance requirements tailored to specific equipment types and operational contexts. This includes creating and refining maintenance and recertification procedures in collaboration with relevant departments, with consideration for geographic and regulatory variations. The role also involves setting up and managing maintenance schedules and automated reminders, ensuring all activities are aligned with equipment specific plans and compliance requirements.
The Maintenance & Sustainability Specialist is expected to perform all duties with a high degree of accuracy, professionalism, and accountability. This includes maintaining confidentiality and discretion when handling sensitive information such as internal maintenance records, certification data, and documentation related to quality management systems.
The individual must comply with Beyond’s standard operating procedures, information security protocols, and corporate policies, and actively contribute to a culture of continuous improvement, safety, and collaborative problem-solving.
Working Conditions
- This is a full-time, in-office position based in the Beyond Energy facility, operating on a standard Monday to Friday, business-hours schedule
- While primarily desk-based, the role requires occasional access to the shop floor or asset storage areas to reference equipment or maintenance records. As such, the candidate should be familiar with industrial work environments, including the use of personal protective equipment (PPE) and basic hazard awareness
- Travel may be required from time to time, but this is not expected to be a regular part of the role
Key Responsibilities
- Develop and maintain preventive and corrective maintenance requirements tailored to equipment types and operational context
- Create maintenance and recertification procedures, considering geographic regulatory variations, with support from related departments
- Set up and manage maintenance schedules and reminders in line with equipment specific plans and compliance needs
- Perform routine system audits to maintain record integrity
- Monitor due and overdue maintenance activities, generate periodic reports, and notify relevant asset owners or stakeholders as required
- Generate and maintain performance indicators and maintenance compliance metrics
- Support internal teams by responding to maintenance-related inquiries and assisting with escalated issues
- Contribute to work order creation and tracking in support of broader asset and maintenance workflows
- Suggest improvements to asset maintenance and administrative workflows to enhance accuracy, efficiency, and alignment with organizational needs
- Ensure maintenance activities and documentation meet the requirements of the company’s Quality Management System (QMS), including ISO 9001 and API Q1/Q2 standards where applicable
Qualifications
- High school diploma required; additional education or training in maintenance management, business administration, or a related field is considered an asset
- 3+ years of experience in an administrative, asset management, or maintenance support role, ideally within an industrial, energy, or manufacturing environment
- Proficiency with Microsoft Excel and SharePoint is essential
- Experience using a Computerized Maintenance Management System (CMMS), preferably Dynaway. Familiarity with similar platforms such as Fiix, eMaint, Hippo CMMS, or UpKeep is considered an asset
- Familiarity with developing and maintaining preventive and corrective maintenance schedules, as well as best practices in maintenance recordkeeping
- Exposure to quality systems such as ISO 9001, API Q1, or API Q2 is an asset
- Knowledge of Power BI or similar reporting tools is considered beneficial, but not required
- Highly detail-oriented and well-organized, with the ability to manage multiple priorities
- Adaptable to dynamic and fast-paced work environments
- Strong technical, verbal, and written communication skills
- Self-motivated and capable of working independently with minimal supervision
- Committed to maintaining a strong safety mindset in all activities
- Team-oriented with the ability to collaborate effectively across disciplines

In addition to the qualifications listed above, the candidate must also have:
- Valid Driver’s License and Vehicle, as local travel may occasionally be required
- Valid Passport and ability to travel out of country as travel to international shop, office and field site locations is a possibility
Preferred Certifications
- Asset Management Certificate – from the Institute of Asset Management (IAM) or equivalent
- Maintenance Planning & Scheduling Certificate – from a recognized training provider
- Certified Maintenance and Reliability Technician (CMRT) – from SMRP (optional; relevant for candidates transitioning from hands-on technical roles)
Communications
- The Maintenance & Sustainability Specialist will work closely with internal stakeholders across the Asset Management, Manufacturing, and Field Operations teams. The role requires effective coordination to ensure maintenance records are received, reviewed, and integrated into asset tracking systems in a timely and accurate manner
- External communication will also be necessary, particularly with third-party vendors and service providers to obtain or verify maintenance and certification documentation. This role does not include responsibility for scheduling work with vendors, which is handled by other personnel
- To be successful, the candidate must demonstrate strong attention to detail and be a clear communicator, both in written correspondence and during verbal discussions or calls. The role often involves managing multiple active tasks or follow-ups, so strong multitasking and organizational skills are essential

- The Maintenance & Sustainability Specialist supports organizational safety and compliance by helping to create, maintain, and audit safety-related documentation associated with equipment maintenance — including checklists, inspection records, and certification logs. They are expected to develop subject matter expertise in maintenance requirements and procedures that drive compliance expectations
- The role includes collaboration with internal departments to ensure maintenance activities align with safety standards and quality systems
- Learn and perform all work in accordance with standard operating procedures (SOP) and ensure compliance with industry and company standards
- Communicate to manager any unsafe working conditions that are observed
- Participate fully in all required HSE training
- Follows safety rules and regulations including wearing appropriate personal protective equipment in designated areas
- Report unsafe working conditions to appropriate Manager
- Actively participate in all safety meetings
