Saturn has an opportunity for a full time Office Administrator based in the Calgary, Alberta office. Reporting to the Executive Assistant to the CEO, some specific duties and responsibilities of the Office Administrator include, but are not limited to:

  • Welcome guests in a courteous manner offering beverages and seating them while waiting to escort the guest to the appropriate meeting room
  • Manage telephone traffic, screening and transferring calls to appropriate departments
  • Handle all incoming and outgoing mail and deliveries
  • Access cards for all employees and consultants
  • Update current phone lists as they change
  • Submit all work order submission through Hines, the building Manager
  • Ensure coffee is made daily and emptied with pots rinsed every evening
  • Make certain that coffee supplies remain constant throughout the day
  • Stock drinks, coffee and snacks daily
  • Tidy eating areas in the morning and after lunch, if necessary
  • Run dishwasher at the end of each day and unload the next morning
  • Prepare for meetings in advance ensuring there are drinks the ice bucket, water, tea and coffee available for guests
  • Ensure that tables are wiped and drinks, coffee cups, tea, etc. are cleared out after every meeting
  • Technical Group Administrative Support
  • Provide administrative support to the Engineering and Geo departments
  • Responsibilities may include: filing, data entry, project coordination, etc.
  • Additional duties and responsibilities as required.

Candidates for this position will possess the following qualifications and competencies:

  • Administrative Professional Certificate preferred
  • 2+ years of relatable experience
  • Proficiency in Microsoft Office
  • Attention to detail, accuracy and excellent time management skills
  • Ability to communicate verbally and written with a high level of integrity and professionalism
  • Experience working with telephone switchboards
  • Industry experience would be considered an asset.
