Process Support (Admin Assistant) - North York, ON
Primary Purpose
This position supports the Central customer service, and EAG departments by performing a variety of key administrative and reception tasks.
Key Accountabilities

Answer and direct inbound calls
-
Amend, cancel, and/or push orders through for accurate and timely invoicing – based on paperwork, reports, and direction from both departments
-
Process vendor invoices and assist with requests for invoices, statements, packing slips, POD’s and other
documents as needed
-
Monitor and answer e-mail inquires
-
Sort and process incoming/outgoing mail
-
Scan and file order paperwork
-
Order, track, and manage office supplies.
-
Manage the visitor’s log
-
Prepare employee timecards and timecard labels
-
Help create internal communication materials for the departments, such as flyers, posters, memos, etc. for team events, meetings, holidays, and other occasions
-
Equipment generation in INFOR EAM
-
Assist in monthly and yearly stock taking
-
Prepare monthly reconciliation of costs for projects and rehabs for both departments
-
Other duties as assigned by management
Qualifications - External
Required Qualifications
-
Experience in a customer-facing administrative role
-
Courteous demeanour and excellent phone etiquette

A keen eye for detail and problem-solving
-
Strong organizational and multitasking skills
-
Ability to multi-task and maintain calm under pressure
-
Motivated to continuously learn and adapt to new challenges and opportunities, with the ability to cross-train for efficiency purposes and professional development

Solid working knowledge of MS Office, especially Word, Excel, and PowerPoint
-
A positive attitude and collaborative spirit – with the ability to work as part of a diverse team
Preferred

Professional administrative background preferred

Experience and aptitude with computer systems and a variety of software. Experience with an JDE is a plus

Contacts:

Internal: Sales, AR/AP, Finance, Procurement, Distribution, Operations, Plant Management – facilitation of customer care objectives in collaboration with these departments

External: Incoming calls, e-mail, and fax (customers, vendors, depots, contractors, etc.); site visitors (customers, contractors, deliveries, etc.)
Level of Responsibility:
Reporting to the Facility/EAG Manager, this position would be part of the customer service team.
Responsible for meeting various customer service and administrative performance targets
Decision-Making Authority:
Decisions made based on company policy and escalated per approval requirements
Physical and Sensory Demands:
Sitting, standing, walking, lifting up to 20 lbs, multi-tasking required, attention to detail, frequent distractions (phones, emails), looking at computer screens for long periods of time. Mon – Fri
Working Environment:
Office environment, interactions with customers potentially leading to disagreeable situations
