This position reports directly to the Chief of Staff and plays a central role in coordinating the administrative processes of internal committees and executive-level bodies. It involves planning meetings, drafting various documents, managing emails, and ensuring follow-up on mandates across departments. As a key point of contact, the role supports the Chief of Staff by facilitating the execution of her responsibilities and maintaining the quality of existing processes. It also includes participation in special projects, translation of communications, and resolution of logistical issues. This is a temporary position with a duration of 12 months
What You Will Do
- Coordinate the administrative processes of all internal committees and executive-level bodies.
- Plan and manage the agendas of internal committees, executive bodies, and the Chief of Staff.
- Ensure the execution and follow-up of various mandates across departments.
- Draft a wide range of documents, including agendas, emails, and meeting minutes.
- Act as a key resource for the Chief of Staff, serving as a central point of contact to delegate and support task execution.
- Organize and coordinate meetings, including preparing necessary documents and presentations.
- Manage email communications and implement an efficient filing system.
- Monitor task progress, prioritize responsibilities, and ensure the quality of operational processes.
- Participate in special projects as needed.
- Translate various departmental communications.
- Create visual summaries and presentations (e.g., PowerPoint) based on information from stakeholders and leadership.
- Oversee logistical operations, ensuring timely resolution of technical or material issues.
- Provide high-quality customer service, both verbally and in writing.
This role could be for you if you have
- Minimum of 5 years of relevant experience in administrative support within corporate governance and/or internal committee management.
- Diploma of Vocational Studies (DEP) or Attestation of College Studies (AEC) in a relevant field.
- Advanced knowledge of Microsoft Office Suite (Word, Excel, Visio, PowerPoint, and Outlook).
- Familiarity with Diligent Board is considered an asset.
- Strong organizational skills, a high sense of responsibility, and political acumen.
- Excellent interpersonal skills and ability to build strong working relationships.
- Demonstrated discretion and ability to handle confidential information.
- Sound judgment and the ability to anticipate needs and requirements.
