Job Summary:

The primary objective of this role is to provide comprehensive administrative support to the clerical team, ensuring the timely and accurate processing of all documentation in alignment with monthly deadlines. This position also offers cross-functional support to the management, sales, service, and installation teams.

Key Responsibilities:

  • Assist in the preparation and processing of sales and rental contracts
  • Support the reconciliation of sales, rental, and field service invoices
  • Facilitate the processing of field service work orders
  • Assist in identifying and correcting field-related discrepancies
  • Process Commercial Protection Plan and Preventative Maintenance contracts
  • Generate manual invoices for the Preventative Maintenance Program
  • Manage accounts receivable related to manual invoicing for the Preventative Maintenance Program
  • Manage accounts receivable related to manual invoicing for Direct Sales
  • Ensure accuracy and currency of on-call staff listings
  • Serve as a central communication liaison for field and sales personnel
  • Address and escalate issues as required
  • Provide payroll support to the Administration Manager
  • Administer the monthly rebate program
  • Report technician incentive (spiff) data to Field Managers for processing
  • Contribute to special projects as assigned
  • Deliver training and support to district administrative clerks
  • Support key commercial and property management accounts
  • Duties as assigned

Qualifications:

  • Customer focused with excellent interpersonal skills
  • Ability to effectively use IFS PSO Workbench, IFS Cloud, GERS, Clarify, Sales Force, Billing Systems, Microsoft Access & MS Office
  • Ability to effectively support the administrative team to resolve customer complaints to the satisfaction of both customer and the company.
  • Capable of working well under pressure and understanding business processes
  • Proven decision-making skills
  • Ability to work in a fast-paced, pressure filled, team environment
  • Strong organizational skills
  • Capable of doing financial analysis to rectify variances
