Job Summary

The Department of Family Medicine is one of the largest and most complex clinical science departments within the Faculty of Medicine and is dedicated to excellence in patient care, teaching, research, and administration within the discipline of Family Medicine in a distributed learning environment (across three provinces). Reporting to the Chief Operating Officer, the Education Operations Manager oversees the postgraduate, undergraduate, and faculty development activities for the department by centrally providing administrative leadership and development of the educational programming as well as strategically supporting, and being accountable to, the Medical Education Directors for academic matters.

Key Responsibilities

  • Lead the planning, development, implementation and consistent application of guidelines, operational policies, processes and procedures for undergraduate and postgraduate program support functions and systems for the Family Medicine education program centrally and at Family Medicine training sites.

  • Provide advice to FM faculty, staff and learners on administrative and other regulatory matters. Guide the development, implementation and evaluation of curriculum initiatives in keeping with relevant accreditation standards. Manage the Family Medicine accreditation process.

  • Oversee the administrative aspects of the postgraduate admissions process, scheduling processes for the educational programs, and evaluation process as well as program-level faculty development activities.

  • Oversee the effective administration of and act as a resource person for various committees. Identify and bring forward relevant issues for consideration and decisions.

  • In collaboration with medical education staff, actively promote the department to prospective applicants. Manage the department’s residency matching process through the Canadian Residency Matching Service. Oversee the administrative aspects of the selection processes, committee, and associated events.

  • Lead, manage, coach, and mentor direct reports. Streamline workflow, set unit priorities, and ensure maximum efficiency and alignment with various stakeholders and department goals.

Note

This position is regularly required towork outside of core business hours for meetings and, as required, for priority projects, including evenings and weekends.

The successful applicant will be eligible for hybrid work (combination of in-person work on campus and remote work from within Nova Scotia) as agreed by all parties based on operational requirements and university guidelines.

Required Qualifications

  • Undergraduate degree in a relevant field plus approximately five to seven years progressive, relevant experience in education management (or an equivalent combination of training and experience).

  • Strong interpersonal, relationship-building, and communication (verbal and written) skills with proven diplomacy and ability to work well as part of a team.

  • Proven attention to detail, initiative, problem-solving skills, and independent judgement.

  • Demonstrated ability to multi-task while working. independently in a fast-paced and results-oriented environment.

  • Effective and demonstrable leadership skills with prior experience managing staff.

Assets

  • Experience in education management in an academic health care environment.

  • Masters degree in relevant field.

  • Knowledge of business management such as budgeting, strategic planning, data analysis.
