We are seeking a detail-oriented and organized individual to join our team as an Exports Specialist. In this role, you will be responsible for managing the export process, ensuring compliance with international trade regulations, and facilitating the timely shipment of goods to various destinations. The ideal candidate will possess strong analytical skills and a thorough understanding of export documentation and logistics.
Responsibilities
The Export Sales & Compliance Coordinator plays a critical role in supporting the international sales process for a meat processing facility. This position is responsible for export order follow-up, product inventory forecasting, coordination with logistics providers, communication with regulatory authorities such as CFIA, and monitoring international trade regulations to ensure full compliance across all export destinations.
Responsibilities
1. Export Sales Follow-up
- Coordinate daily communication with international customers regarding orders, product availability, shipment status, and documentation.
- Track export sales contracts and ensure timely fulfillment according to agreed terms.
- Prepare and confirm proforma invoices, shipping instructions, and order confirmations.
2. Export Inventory Forecasting & Monitoring
- Collaborate with production and cold storage teams to monitor export product availability.
- Maintain and update weekly export product forecasts based on customer demand and production plans.
- Highlight inventory shortages or excesses to the sales and production teams.
3. Logistics Coordination
- Liaise with freight forwarders, carriers, and internal logistics teams to schedule and confirm shipments.
- Ensure timely booking of containers and coordination of trucking, vessel schedules, and document handoffs.
- Track in-transit shipments and resolve delays or discrepancies proactively.
4. Regulatory & Documentation Compliance
- Communicate with the Canadian Food Inspection Agency (CFIA) for export documentation such as export certificates, Annex A/B forms, and inspection schedules.
- Ensure all products meet health and safety standards for destination markets.
- Keep accurate records of export inspections and documentation required for each country.
5. Export Country Regulation Updates
- Monitor and interpret export requirements and import regulations for all destination countries (e.g., USDA, GACC, SAGARPA, MAFF, etc.).
- Coordinate with quality assurance and compliance teams to update product handling procedures and export eligibility when regulatory changes occur.
- Maintain up-to-date regulatory matrix per country and provide timely updates to internal stakeholders.
Position Requirements & Skills
- Diploma or degree in International Business, Supply Chain Management, Agriculture, or a related field.
- Minimum 2–3 years of experience in export logistics, meat processing, or regulatory compliance preferred.
- Familiarity with CFIA export protocols and global meat trade regulations is an asset.
- Strong attention to detail, organizational skills, and ability to multitask.
- Proficiency in MS Excel, ERP systems, and export documentation platforms (e.g., MyCFIA).
- Excellent verbal and written communication skills in English; additional language(s) an asset.
Physical Requirements
- Sitting and standing for extended periods of time.
- Typically works from Monday to Friday with an 8-hour working day plus 1 hour unpaid for lunch with some weekend, audit, coverage and project requirements.
- Office-based with regular interaction across sales, QA, production, cold storage, and finance teams.
- May require flexible availability to support international shipping schedules or CFIA inspections.
- Regular communication with external customers, freight forwarders, customs brokers, and government agencies.
