Position Overview The Administrative Assistant/Receptionist is responsible for providing administrative support to maintain the efficient and effective operation of the office. This role involves tasks including correspondence, scheduling, document preparation, and supporting internal teams. The ideal candidate is detail-oriented, highly organized, and capable of managing multiple priorities with professionalism and discretion.
Key Responsibilities
- Greet visitors and clients in a professional and friendly manner
- Answer and route incoming calls and emails to appropriate departments
- Manage reception area to ensure it is clean and welcoming
- Receive and distribute mail, packages, and deliveries
- Maintain visitor logs and security protocols
- Schedule meetings, appointments, and conference rooms
- Prepare and edit correspondence, reports, and other documents
- Handle data entry, filing, scanning, and record keeping
- Support internal departments with general administrative tasks
- Coordinate courier services and logistics
- Provide general administrative support including correspondence mailing, scanning, faxing, and copying.
- Schedule meetings, appointments, and travel arrangements.
- Assist in the preparation of regularly scheduled reports and presentations.
- Respond to incoming calls, emails, and other communications internally and externally.
- Support team members and departments as needed for events, reports, and administrative projects.
- Other tasks and responsibilities as needed.
Skills And Qualifications

Education:

High school diploma; post-secondary education or diploma in Office Administration is an asset

Experience:
-
Minimum 2 years in an administrative/receptionist role

Skills & Competencies:
-
Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

Excellent written and verbal communication skills
-
Strong organizational and time-management skills.

Ability to work independently and in a team environment.

Professional demeanor and strong interpersonal skills.

Fitness industry experience is an asset
