What You'll Be Doing We are seeking a detail-oriented and proactive Operations Associate to join our Stifel Canada Operations team. The Associate will be responsible for the accurate and timely settlement of equity trades, among other operational duties. This position requires strong communication skills, a client-service mindset, and the ability to perform under pressure in a fast-paced environment. The Associate will provide support to the Operations department and the Sales & Trading team to facilitate a smooth operation for the firm.

In Canada, we are primarily organized into industry teams focused on specific sectors. These include: Technology, Consumer, Diversified Industries, Life Sciences and Metals & Mining.
Note – This position is based at our Toronto office location and is currently a hybrid role (can change with notice). The current hybrid model involves 3 days in the office and 2 days working remotely. The schedule is 10am to 6pm. The role requires schedule flexibility to align with trading hours and operation demands.
What We're Looking For Reporting to the Vice President of Operations, the Operations Associate will be responsible for the following tasks:
- Act as liaison for the trading desk on any trade or settlement related issue;
- Monitor and ensure the timeliness of trade bookings and matching to minimize trading/operational and settlement risks;
- Manage various trade issues, such as unmatched and failing trades;
- Book and allocate trades in Fidessa (CTM, FMCNET, AMS and Manual);
- Assisting with new account opening and maintenance;
- Scanning documents into client file;
- Trade reconciliation;
- Manual trade approval /cancels and corrects;
- Completion of compliance requests;
- Liaison with Sales and Trading assistants;
- Act as a liaison with carrying broker on various tasks, including but not limited to registered accounts, Reorg, Security Master and Account Transfers;
- Proxies;
- Credit journals; and
- Other duties and responsibilities as assigned.
What You'll Bring The successful candidate will possess:
- Proficiency in Dataphile, is required;
- Hands-on experience with DTC Alert, FMC Net, and CTM for trade allocations;
- Strong understanding of trade settlement processes, including knowledge of settlement statuses (e.g., DK, Unconfirmed, Pending) in Canadian and US markets;
- Experience of allocating trades in Fidessa and using Arrow for trade operations;
- Manual ticket entry (keypunching);
- Familiarity with New Accounts, Reorg, Account Transfers, and Security Master functions;
- Excellent client communication skills (verbal and written), with the ability to interact confidently and professionally with internal and external stakeholders;
- Takes initiative and self-direction when performing tasks with ability to organize and prioritize effectively to meet deadlines;
- Strong team player;
- Strong attention to detail and accuracy; and
- Proven ability to work well under pressure and in a fast-paced environment.
Education & Experience
- Minimum two (2) years of full time work experience in an Operations department; knowledge of settlement support and operations practice and concepts; and
- Minimum education required: High School Diploma or equivalent.
Systems & Technology
- Intermediate Excel and Microsoft Office knowledge.
