Position Details
Position Title: Office Assistant Reports to: Operations Manager Subordinate Staff: N/A Job Summary Reporting to the Operations Manager, you will be responsible for performing a variety of administrative tasks to support daily office operations as needed.
Main Responsibilities
- Perform general administrative duties such as answering phone calls, managing correspondence, and responding to emails.
- Assist with the preparation and processing of documents, including contracts, purchase orders, invoices, and other business-related forms.
- Perform basic bookkeeping tasks, such as recording expenses, preparing expense reports, and assisting with budget tracking.
- Reconciliation of the receipts and the invoice and retrieve all missing information from superintendent, foreman and field crews.
- Involve in the preparation of the monthly review process and create any reports that may be needed.
- Maintain and update filing systems, both electronic and physical, ensuring accurate and timely retrieval of information.
- Provide administration and data support as determined by the Operations Manager.
- Collaborate with team members to ensure efficient communication and coordination of tasks.
- Perform other related duties as required.

- Strong organizational skills with the ability to prioritize tasks and meet deadlines.
- Excellent written and verbal communication skills.
- Attention to detail and a high level of accuracy in work.
- Ability to handle confidential information with discretion and maintain confidentiality.
- Ability to maintain a high level of accuracy in preparing and entering information.
- Effective time management skills.
- Effective problem solving skills.
- Be flexible, outgoing, responsible, self-motivated, and confident.
- Be a team player and have a good attitude.
Education
- A high school diploma or equivalent.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with basic office equipment.
- Valid Driver's Licence
