Paradox Access Solutions is seeking a Service Writer to join our team!

JOB TYPE: Full-time, Permanent

LOCATION: Acheson, AB

The Service Writer is a key administrative and operational support role within the Paradox shop team. Working directly alongside Heavy Equipment Technicians and reporting to the Shop Foreman, the Service Writer ensures that our fleet and equipment operations run smoothly through the coordination of repairs, maintenance tracking, inventory control, and documentation. This role blends shop-based logistics with hands-on support and data entry, making it a great fit for someone who thrives in a fast-paced, collaborative environment.

HOW YOU’LL CONTRIBUTE (RESPONSIBILITIES)

Repair & Maintenance Coordination

  • Coordinate and schedule equipment repairs and services with technicians.
  • Track work orders and ensure repair logs and documentation are maintained.
  • Create and manage cost estimates for parts, labor, and service needs.
  • Assist in processing warranties and follow-ups with suppliers or manufacturers.

Inventory & Shipping Support

  • Maintain inventory control systems for parts and consumables.
  • Receive, label, and document inbound shipments; ensure packing slips match deliveries.
  • Prepare, package, and document outbound shipments.
  • Conduct regular stock checks and report discrepancies.

Administrative Duties

  • Perform data entry for work orders, purchase orders, and service tickets.
  • Match purchase invoices to approved POs; maintain organized electronic and physical records.
  • Support statement and billing processes in coordination with the Fleet and Transportation team.
  • Provide general administrative support including filing, scanning, and correspondence.

Logistics & Shop Support

  • Assist with vehicle and part pick-up/delivery as needed.
  • Operate forklifts or shop vehicles when required (training provided if not already licensed).
  • Monitor shop organization, cleanliness, and safety standards; report hazards or equipment concerns.

DO YOU HAVE WHAT IT TAKES? (REQUIREMENTS)

  • 5+ years in a similar role, preferably within the construction or heavy equipment industry.
  • Strong understanding of equipment, trucks, and maintenance processes.
  • Proficiency in Microsoft Office Suite and an ability to acclimate to PC-based inventory control systems such as Spectrum and order entry systems.
  • Considered an asset if has specialized knowledge of specific parts such as automobile, heavy equipment, recreational vehicles, or engines.
  • Considered an asset if a Registered apprentice, Journeyperson Mechanic or has a mechanical background.
  • Class 5 Driver’s License and an adequate 5-year Driver’s Abstract.
  • Able to pass a pre-employment Drug, Alcohol, and 35lb Fitness-to-work test.
