Overview
Join our dynamic HR team with the City of Richmond as a Human Resources Clerk. This position is responsible for coordinating training schedules, managing logistics, maintaining accurate records in systems like PeopleSoft HCM and SAP SuccessFactors, and supporting new employee orientation and leadership development programs. The Human Resources Clerk will work closely with managers, instructors, and vendors to ensure seamless program delivery and communication throughout the training lifecycle.
Key Accountabilities:
- Schedule and manage logistics for internal and external training sessions and organizational development initiatives, including coordinating with vendors, maintaining the Corporate Training calendar, and ensuring employees have access to up-to-date course details.
- Manage the external training application process, including gathering approvals, guiding employees through policy compliance and reconciliation processes.
- Maintain accurate data entry and reporting in systems like PeopleSoft HCM and SAP SuccessFactors Learning.
- Prepare and analyze reports and trends on organizational development metrics, including performance, engagement, and learning, to provide insights to support strategic decision-making and continuous improvement initiatives.
- Monitor training-related expenses, process invoices, generate purchase orders, and verify employee reimbursements for financial accuracy.
- Utilize tools and technologies to streamline scheduling, tracking, and reporting for training programs.
- Coordinate new employee orientation sessions, including logistics for onboarding activities and delivering a positive first impression of the organization.
- Organize and coordinate leadership development programs and large-scale corporate learning activities, including planning sessions, securing venues, preparing materials, managing communications with attendees, and ensuring post-event follow-ups.
- Plan and coordinate large-scale corporate learning and leadership development activities and events, including securing venues, arranging materials, and managing communications with attendees.
Qualification and Experience:
This role requires an experienced HR administrator who understands the significance of attention to detail and timely responses. The ideal candidate should possess:
- A level of education, training, and experience equivalent to a Diploma in Business Administration or a related field, along with two to three (2-3) years of recent relevant experience.
- Excellent written and verbal communication skills, with the ability to provide clear instructions and updates for staff and stakeholders.
- Proficiency in computer applications, including word processing, spreadsheets, and preferably database programs.
- Experience coordinating logistics, communication, and attendee involvement for large-scale engagement activities.
- Familiarity with HR Information System (preferably PeopleSoft) and records management software is an asset.
- Skills in data analysis, report generation, and using insights to enhance program efficiency.
- Exceptional attention to detail and accuracy.
- Ability to prioritize tasks and make routine decisions with minimal supervision.
- A commitment to providing outstanding customer service to both internal and external stakeholders.
- Consistent performance, a strong work ethic, and demonstrated problem-solving abilities.
- Flexibility, adaptability, and effective prioritization skills.
This is a temporary position for 6 months with the possibility of extension.
