Position Summary

In this pivotal role, you’ll be the operational heartbeat of our People and Culture Division—ensuring smooth day-to-day administrative coordination, supporting exciting projects, and delivering top-notch service to employees and visitors. Reporting directly to the Executive Director, you’ll be a trusted partner and key point of contact, known for your responsiveness, precision, and professionalism.

Position Responsibilities
Administrative Support
- Acts as the first point of contact for general inquiries to the People and Culture reception desk, main telephone line, or email and triages questions to appropriate employees within People and Culture or providing instructions to RDP Connect
- Provides support to the People and Culture management team in scheduling meetings, including contacting participants, booking rooms, providing hybrid meeting technology support, ordering catering, agenda preparation, meeting meetings, and arranging for parking as required
- Coordinates incoming and outgoing shared drive access, keys, phone numbers for all People and Culture staff using the E-request system
- Updates processes, manuals, Organizational charts as provided by P&C managers, and the P&C handbook.
- Implements the Corporate Apparel Program including campus-wide communication and the distribution of apparel.
- Supports the P&C team with compliance coordination, including semi-annual compliance reminder emails from non-compliance reports (personal data on Employee Dashboard, mandatory training such as onboarding), and any other missing or incomplete information
- Supports ongoing maintenance of the People and Culture section of the RDP Connect Employee Portal and Polytechnic website (careers)
Documentation Management and Compliance
- Acts as one of People and Culture’s main system users for the Document Management software, Laserfiche
- Acts as Records Liaison for the People and Culture Division, including disseminating record management information to the Division and responding to basic record management and personnel file inquiries
- Maintains a comprehensive filing system, including archival and storage inventories for the Division in accordance with Red Deer Polytechnic’s records management system
- Responsible for data-entry and tracking several items into the Information System Banner Receives Employee Code of Conduct Acknowledgement and Conflict of Interest Disclosure forms, checks for completion and files in accordance with current practices; maintains a list of Conflict-of-Interest Disclosures for audit review; escalates complications and non-compliances to the Business Partners or Executive Director
Budget Monitoring and Coordination

Supports the Executive Director by tracking and monitors operating budgets for the People and Culture Department to ensure accuracy

Coordinates the implementation of approved budgets to appropriate FOAP including capital, operations & renovations, in consultation with the Executive Director, Department Managers

Reviews budget reports to ensure accuracy and to solve budgetary and financial issues within scope of authority and communicates results to the budget holder
Required Qualifications

Completion of a 2-year college diploma or equivalent in Human Resources, Business or a related discipline

2+ years of related experience in a Human Resources office or administrative setting

Proficiency in Microsoft Office Suite including 365, Word, Excel, Teams and Outlook are required

Excellent interpersonal skills

Ability to work independently and in a team environment

Demonstrated excellent written and oral communication skills

Excellent telephone and customer service etiquette

Ability to change tasks, working environments and priorities quickly and efficiently

Ability to plan, organize, set work priorities, and adhere to deadlines is essential

Advanced understanding and application of confidentiality, integrity, diplomacy, professionalism and tact

Self-motivated with the ability to positively handle change

Superior attention to detail and accuracy

Current knowledge and understanding of Administrative processes used in the operation of a large organization and the ability to apply that knowledge.
Preferred Qualifications
Experience using SharePoint, Banner, Cognos, and Launchpad or complex databases would be considered assets

Red Deer Polytechnic offers a comprehensive benefits package including extended health and dental care through Blue Cross, access to a health spending account, pension plan, Employee & Family Assistance Program, generous vacation allotments, credit tuition waivers and opportunities for professional development funding. Additional time off due to Institution closures between Christmas and New Year general holidays.
