About the role

Duties and Responsibilities:

Reporting to the Manager, Administrative Services, the Student Engagement and Program Coordinator plays a central role in ensuring the smooth operation of student- and program-related processes and initiatives in the Faculty of Science.

The position coordinates and provides comprehensive administrative support for all graduate and undergraduate academic processes, activities, and initiatives, including academic integrity, student awards, and recruitment/retention and wellness initiatives.

The Student Engagement and Program Coordinator coordinates processes for curricular modifications across both graduate and undergraduate programs within the Faculty of Science. In addition, the Student Engagement and Program Coordinator actively supports the coordination and administration of meetings for the Science Faculty Board and the Science Committee of Academic Planning (SCAP) at both undergraduate and graduate levels.

In these areas, the Student Engagement and Program Coordinator ensures consistent and ongoing support for the Dean and the Dean’s delegates, most typically the Associate Dean (Undergraduate Affairs), the Associate Dean (Graduate Affairs), and the Associate Dean (Student Recruitment, Wellness, and Success).

As a front-of-office position, the Administrator shares responsibility for addressing in-person and email inquiries, responding to them promptly, and redirecting as appropriate.

Qualifications:

The incumbent must possess the following qualifications:

  • General knowledge of university structure and its services.
  • Flexibility regarding work time.
  • Advanced computer skills.
  • Expertise in Microsoft Word, Excel, PowerPoint, Access, BANNER, and FAST.
  • Excellent organizational skills.
  • Ability to adhere to deadlines effectively with limited supervision.
  • Ability to establish priorities.
  • Thorough knowledge of University and administrative policies.
  • Ability to define and resolve problems.
  • Ability to meet and deal with people at a senior level.
  • Ability to handle confidential information.
  • High level of professional maturity with proven procedural and administrative skills.
  • Excellent English communication skills (written and oral).
  • Word processing and research skills.
  • Ability to effectively take notes and prepare minutes of meetings.
  • Proficiency in spreadsheet and database programs.
  • Demonstrated excellence in preparing presentations.

Education and Experience:

The above is normally acquired through the completion of:

  • Completion of a University undergraduate degree.
  • Five years of administrative experience, preferably in a postsecondary environment with experience at a progressive senior secretarial/administrative level.
