Job Description

Reporting to the Director of Infrastructure at one of our offices in Montreal or Laval, the Administrative Assistant will act as the main contact for files. The Administrative Assistant is called upon to perform administrative tasks related to opening files and monitoring projects, organizing meetings, preparing reports and compiling management information. She facilitates administrative management and project follow-up. She collaborates with the entire team of engineers and technicians in carrying out their activities. The successful candidate will be able to take advantage of our hybrid work mode, allowing him/her to telework, work on-site at the office, or a combination of both.

Primary Responsibilities

  • Open project and service offer files, and ensure that they are filed and archived in accordance with the current system

  • Participate in the preparation of service offers when required, handle day-to-day business and provide administrative support to managers (management, file follow-up and invoicing)

  • Proofread and format documents, reports, technical notes, etc. to ensure quality of deliverables

  • Update data, registers and tables in the appropriate systems

  • Conduct research, collate information, document files to facilitate analysis and decision-making

  • Organize meetings, take notes, write up minutes, follow up as appropriate, identify urgent tasks and follow up with responsible persons

  • Welcome and integrate new team members

Qualifications

  • Professional diploma or college degree in secretarial or office automation techniques, or equivalent training
  • 3 to 5 years' experience in a similar position
  • Fluency in spoken and written French
  • Thorough knowledge of Office 365, particularly Word and Excel
  • Proven writing skills (especially for reports), ability to synthesize information and good management of priorities
