The World Anti-Doping Agency (WADA) was established in 1999 as an international independent agency to lead a collaborative worldwide movement for doping-free sport. As the global regulatory body, WADA’s primary role is to develop, harmonize and coordinate anti-doping rules and policies across all sports and countries. POSITION OVERVIEW
Under the supervision of the Director, Corporate Services and Sustainability (DCSS), the Coordinator, Corporate Services and Sustainability provides executive/administrative support to the DCSS, Sustainability Manager and Office Manager. This includes performing a wide array of tasks which includes but is not limited to the development and/or update of policies and procedures and the implementation of operational, health and safety and sustainable programs and practices. The Coordinator, CSS will possess excellent writing and oral communication skills (in English and French), strong organization skills, attention to detail, efficiency, proactivity, resourcefulness, flexibility, professionalism and discretion.
KEY RESPONSIBILITIES
- Support the DCSS and Sustainability Manager in implementing sustainability initiatives, including data collection, analysis, and policy development;
- Assist in Health and Safety activities across WADA offices, including monitoring supplies, coordinating corrective actions, and ensuring compliance with safety standards;
- Collaborate on the development, review, and maintenance of organizational policies, guidelines, and documentation (e.g., FAQs, procedures);
- Prepare reports, correspondence, and documentation as needed; ensure timely follow-up and information flow within the CSS team;
- Manage HQ and Regional Office insurance policies, including renewals and claims processing;
- Coordinate employee travel duty of care, including Mission Preparedness Acknowledgements and incident follow-ups;
- Act as SharePoint SuperUser for CSS, maintaining document accuracy, confidentiality, and accessibility;
- Develop and publish internal communications (e.g., CSS News), maintain a yearly communication calendar, and support event planning;
- Process purchase orders, invoices, and expense reports (Business Central, Concur); track related financial activity;
- Serve as CSS Brand Ambassador and Privacy Champion, ensuring compliance across content, vendors, and processes;
- Support implementation and maintenance of new tools (e.g., ServiceNow) for service requests, asset/supply management, and task scheduling;
- Assist with protocol gift management and community events planning in coordination with the Office Manager;
- Participate in onboarding/offboarding, Health & Safety and Green Team Committees, and first aid/evacuation team;
- Provide backup support for Global Mobility and Office Operations functions as needed.
QUALIFICATIONS AND SKILLS
- Diploma in Administration (or equivalent);
- Minimum of five years’ experience in a similar role;
- Excellent written and verbal communication skills in both WADA official languages (English/French). Additional languages a definite asset;
- Excellent interpersonal skills. Ability to work with, and establish strong working relationships and rapport with staff at all levels of the organization;
- Ability to achieve high level of performance as part of a team, sharing responsibility, providing support, and maintaining fluid communications or working independently;
- Confidentiality, tact and discretion are paramount.
- Excellent organizational and time management skills with strong attention to detail;
- Able to manage a varied workload and work under pressure efficiently;
- Ability to work in a fast-paced environment, multi-task, prioritize, and meet deadlines;
- Proactive and resourceful;
- Proficiency in with SharePoint and Microsoft Office Suite (in particular Excel and Word);
- Experience working in an international environment, an asset;
- First aid certification required (training will be provided); may be required to administer first aid, oxygen, and operate an AED.
- May be required to lift, and transport loads of up to 10 kg; or push and pull heavier loads;
- Availability and flexibility to work extended hours during peak periods;
- Excellent oral and written skills in one of the two WADA official languages (English/French) and very good command of the other official language. Additional languages are an asset;
