The Opportunity

The Business Support Manager is a key operational leader responsible for driving the efficiency and effectiveness of administrative and cross-departmental processes within our growing team. This role oversees core business functions, including administrative services, technology coordination, workflow optimization, and internal system management to ensure seamless day-to-day operations aligned with organizational goals.

This position requires a self-motivated, detail-oriented, and highly organized individual who can confidently lead in a dynamic environment with competing priorities. The Manager will take ownership of developing, reviewing, and enhancing policies, systems, and procedures, ensuring that all functions operate smoothly and efficiently.

Strong interpersonal, communication, and administrative skills are essential, as is the ability to maintain confidentiality and thrive in both independent and collaborative settings. What You'll Do:

  • Team Leadership and Management : Manage and support the corporate services team, providing guidance, delegation, and performance oversight. Coordinate across departments to ensure cohesive support services, set priorities, and manage daily administrative operations.
  • Process Improvement & Operational Efficiency : Continuously develop, review, and enhance administrative systems, policies, and procedures. Champion best practices, lead change management initiatives, and stay informed on industry trends and innovations.
  • SharePoint Administration : Administer the SharePoint platform, managing site architecture, user permissions, and content workflows. Design and maintain digital forms, automations, and collaborative tools using Power Automate, Power Apps, or third-party solutions.
  • Technology and Systems Support : Act as the primary liaison with IT contractors. Support the implementation, maintenance, and optimization of internal business systems and IT infrastructure, encouraging adoption of digital tools and enhancing team productivity.
  • Project Management : Lead special projects, including the development and maintenance of Business Continuity and Disaster Recovery Plans, and the creation of digital portals (e.g., tenant SharePoint sites).
  • Data & Information Management : Develop and enforce standards for digital file organization, naming conventions, and secure storage. Oversee training on system usage and ensure data integrity, confidentiality, and effective reporting practices.
  • Corporate Metrics : Assist with the development and reporting of key corporate metrics and contribute to the assessment of strategic initiatives.
  • Facility & Office Management : Oversee office space planning and optimization in coordination with operations and vendors. Manage procurement, office equipment maintenance, and inventory control.
  • Governance Support : Assist with the coordination of Board and Committee meetings, including preparation and distribution of materials via the board portal.
  • Ensure compliance with COVE’s policies and procedures, including human resources, safety, and operational standards.
  • Take on additional responsibilities as required to support the success and growth of COVE’s programs and strategic initiatives.

What You Bring

  • Bachelor’s degree in business administration, IT management, or a related field.
  • 5 years’ experience in a similar administrative position, or a combination of experience and education.
  • Exceptional leadership and time, task, and resource management skills.
  • Strong organizational, problem solving, critical thinking, coaching, and interpersonal skills.
  • Experience in SharePoint administration and IT systems.
  • Ability to plan for and keep track of multiple projects and deadlines.
  • Highly motivated, analytical, logical thinker with a very strong attention to detail and the ability to meet multiple and/or unexpected deadlines in a demanding environment.
  • Strong ability to communicate verbally and in writing.
  • Initiative, good judgment and strong work ethic, ability to work independently and with a team.
  • Strong digital skills, proficiency with Microsoft Office Suite, Word, Excel and PowerPoint.
  • Strong technical skills with the ability to learn new processes and systems quickly.
  • Solid team player who enjoys interacting and building relationships with others.

Additional Assets:

  • Microsoft 365 or SharePoint-related certifications (e.g., MS-700, SC-300).
  • Experience in ERP/CRM platforms.
  • Certification in Change Management.
